About the Role

Business Clerks serve as the finance liaison between the Business Office and campus staff, assisting with campus issues and finance projects. They present budgets, manage contract submissions, requisitions, inventory, and support fundraising and field lessons, offering budget advice and solutions to campus partners.

Responsibilities

  • Provide and maintain financial skillset for campus-level finance support and management.
  • Ensure campus systems and procedures are executed with fidelity to meet budget targets, procurement timelines, and compliance.
  • Implement and support campus administrative and instructional staff with financial policies.
  • Respond to emails and Teams messages within 48 hours.
  • Complete submissions of forms accurately and on time (Requisitions, contracts, other approval forms).
  • Provide campus support to staff and students.
  • Participate in Campus Operating Mechanisms (weekly/biweekly check-ins, tactical, EOD updates).
  • Provide support and potential solutions that meet IDEA Business Office policies in emergency situations.
  • Adhere to escalating matters to the Regional Manager.
  • Ensure inclusion in procurement, fundraising, and field lesson decisions.
  • Submit Contract Requests in the Contracts Module with supporting documentation.
  • Partner with others to ensure Contract Requests meet requirements.
  • Support in securing Charter Bus quotes with updated Safer Reports for compliance for all field lessons and travel.
  • Partner with others to ensure Charter Bus quote requests meet requirements.
  • Support in submitting all fundraising approval forms with Administrative Assistants.
  • Maintain cash handler compliance for all sponsors on campus.
  • Prep cash and check deposits to avoid suspensions.
  • Execute and implement Business Office best practices for specific campuses.
  • Audit inventory of campus supplies and technology on a bi-monthly basis.
  • Be available to meet deadlines and timelines set by the Business Office (APB, textbook orders, BOY/EOY Checklists, receiving, contracts).
  • Attend to emergency matters for resolution, such as receiving, securing field lesson transportation, or lodging due to unforeseen changes.
  • Visit different sites within their region to support processes, act as an administrator for multiple sites, or temporarily fill an unforeseen vacancy.
  • Support, submit, and track Business Office processes using specific systems.
  • Not be approved for overtime for work not core to the role.

Requirements

  • 2+ years experience at a school system or nonprofit.
  • Experience managing cross-functional projects and finances in a large, mission-driven organization.
  • Experience working in a fast-paced, results-oriented environment.
  • Must be included with procurement, fundraising, and field lesson decisions.
  • Must support in securing Charter Bus quotes with an updated Safer Reports for compliance for all field lessons and travel.
  • Must support in submitting all fundraising approval forms and maintain cash handler compliance for all sponsors on campus.
  • Must prep cash and check deposits to avoid suspensions for that corresponding month.
  • Must have a sufficient work area where the Business Clerk can comfortably work to operate any cash handling and inventory.
  • Must require access to storage closets to audit inventory on a bi-monthly basis for all campus supplies and technology and the campus safe.
  • Must be available to meet deadlines and timelines set by Business Office.
  • Must be available to attend to emergency matters for resolution.
  • May visit different sites within their region to support in processes, act as an administrator for multiple sites, or support to temporarily fill an unforeseen vacancy.
  • Must be available at all times.
  • Will not be approved for overtime for work not core to role.
