About the Role

Valiant Residential is seeking an Assistant Community Manager to support the Community Manager in property operations and act as a liaison for leasing, marketing, and resident relations. This role involves maintaining financial records and ensuring smooth property management.

Responsibilities

  • Assist in preparing advertising materials.
  • Assist in showing units and screening applicants.
  • Maintain records of rental levels of comparable units in the surrounding area.
  • Present creative leasing and marketing ideas.
  • Maintain courteous communication with residents, applicants, and representatives of other companies.
  • Greet prospects and qualify them based on established criteria.
  • Complete applications and secure deposits according to company procedures and Fair Housing requirements.
  • Update availability reports and process applications for approvals, including credit checks and rental history.
  • Submit processed applications to the Community Manager for approval.
  • Assist in monitoring lease renewals and distribute/follow up on renewal notices.
  • Professionally represent the company at all times.
  • Accept rental payments and submit them to the Community Manager.
  • Type leases, complete necessary paperwork, and input information into the Yardi system accurately.
  • Review lease documents with the Community Manager before obtaining signatures.
  • Assist the management team with various tasks as required.
  • Consistently implement community policies.
  • Prepare and maintain complete resident files.
  • Prepare late notices and notices to pay rent.
  • Assist in the collection of rents and preparation of receipts.
  • Assist with legal proceedings.
  • Assist with lease preparation, signing, and administration.
  • Operate computers programmed with accounting software to record, store, and analyze information.
  • Understand the Apartment Association lease and contracted credit report application.
  • Communicate with the Community Manager regarding invoice accuracy, purchase order attachments, and correct coding.
  • Ensure all received invoices are approved, entered, and paid promptly.
  • Quickly complete maintenance service requests and inform the maintenance team.
  • Answer resident questions regarding the community, repairs, rent, and rules.
  • Follow up promptly on resident matters if immediate response is not possible.
  • Ensure maintenance repairs are handled satisfactorily by contacting residents with completed service requests weekly.
  • Maintain open communication with the Community Manager and Maintenance Supervisor.
  • Contribute to the community's cleanliness and curb appeal.
  • Enforce community policies.

Requirements

  • Fair Housing Certification, or willingness to obtain before interacting with prospective residents.
  • Demonstrate an ability to support and contribute to the community team.
  • Demonstrate strong oral and written communication skills.
  • Must possess strong verbal and written communication skills in English to effectively interact with team members, residents, vendors, and other stakeholders.
  • Bilingual in Spanish is a plus.
  • Must possess a positive attitude and the ability to smile under all circumstances.
  • Participate in training to comply with new and existing laws.
  • Valid driver’s license with good driving record and auto insurance.
  • Ability to work most weekends.
  • Apartment management experience preferred.
  • Neat, clean, and professional throughout the workday and/or whenever present in the community.
  • Comply with expectations as demonstrated in the employee handbook.
  • Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of the problem.

Skills

  • High school diploma or equivalent
  • 2+ years of college preferred
  • Ability to sit, stand, climb, stoop, and remain at a desk for a period of up to 8 hours or more if needed.
  • Ability to walk the property for a period of up to 8 hours (or more) in various weather conditions.
  • Ability to climb stairs for purposes of showing properties to prospective tenants.
  • Ability to lift up to 30 lbs. as needed.
