About the Role
Orbital Copilot is seeking a Workplace Experience Manager to enhance the culture and collaboration within its London office. This role focuses on making in-person time intentional and energizing, requiring a proactive individual who can define and execute exceptional workplace experiences, from strategic improvements to daily logistics.
Responsibilities
- Assess and proactively improve the office environment, refining layout, flow, rituals, and details.
- Raise workplace standards without direct instruction.
- Shape the new London office to support work dynamics.
- Deliver end-to-end events and rituals, including conceptualization, vendor management, budget control, and communication.
- Ensure the office runs smoothly by managing vendor relationships, facilities, supplies, health & safety, and AV/meeting room setups.
- Manage desk booking software and meeting room scheduling to optimize utilization and prevent friction.
- Proactively monitor and resolve office operational issues.
- Ensure a warm and considered first impression for candidates and new joiners.
- Coordinate interview days, including room preparation and logistics.
- Act as an on-site host for candidates when needed.
- Send welcome emails and manage new starter program calendars.
- Arrange travel for new joiners onboarding at other Orbital offices.
- Lead office inductions for new joiners alongside IT.
- Serve as the primary office point of contact during the onboarding period.
- Reinforce employer brand through interactions with candidates and new joiners.
- Communicate office initiatives clearly and engagingly.
- Support operational processes at the intersection of workplace and wider operations.
- Collaborate with the US Office Lead to standardize the global office experience.
- Follow security policies, complete awareness training, and handle sensitive data with care.
- Report risks or incidents promptly.
Requirements
- High standards, discretion, and strong attention to detail.
- Strong operational reliability; ability to create systems so basics don’t break.
- Proactive ownership; ability to act without detailed briefs.
- Background in hospitality or events.
- Flexibility to handle extra effort during events or projects.
- Comfort being in the office most days.
- Comfort with ambiguity and a dynamic, growing company environment.
