About the Role
The Scheduler Lead provides critical operational leadership and governance for all scheduling activities supporting case studies. This role is accountable for ensuring accurate, timely, and efficient participant scheduling across all sites and geographies, aligned to volume targets, site capacity, and proctor availability. As a key leader, you will oversee scheduler teams, establish standardized processes, and serve as the primary escalation point for complex challenges, priority requests, and systemic capacity constraints. This role is vital to meeting service levels, maximizing utilization, and enabling the predictable delivery of case study volumes. The Scheduler Lead will also work with the Schedulers to develop strategic approaches for Schedulers in other locations to efficiently identify candidates for case studies and increase end user participation.
Responsibilities
- Lead and coordinate day-to-day scheduling operations across all case study sites and participant types, including internal, external, and pilot groups.
- Own scheduling governance, standards, and operating procedures to ensure consistent execution across different geographies and teams.
- Partner with Proctor Leads, Site Leads, and Program Management to align participant scheduling plans with site capacity, proctor staffing, and forecasted demand.
- Serve as the primary point of contact for complex scheduling issues, conflicts, high-priority requests, and rapid-turnaround collection needs.
- Monitor and report on scheduling KPIs, including fill rates, utilization, no-shows, cancellations, and reschedule trends.
- Drive initiatives to reduce scheduling friction, improve participant experience, and increase overall schedule reliability.
- Ensure scheduler teams are trained, compliant with protocols, and equipped with the tools needed to support evolving study requirements.
- Collaborate with recruiting, quality, and data teams to address systemic constraints impacting volume delivery or scheduling accuracy.
- Provide structured coaching, feedback, and performance input for Scheduler team members in alignment with the staffing model.
- Support planning activities for ramp-ups, pilots, and new site launches by defining scheduling assumptions and capacity models.
Requirements
- Minimum 2 years of work experience
- Expertise in capacity planning across multi-site operations.
- Ability to align demand with operational constraints.
- Proficiency in KPI tracking, reporting, and trend analysis.
- Skilled in process definition, standardization, and governance.
- Experience with participant scheduling systems and databases.
- Strong team management and leadership capabilities.
- Clear and confident communication with cross-functional stakeholders.
- Ability to solve problems effectively under time and volume pressure.
