About the Role
Knight Frank is seeking a Business Support Coordinator to join their Property Asset Management (PAM) team at their Head Office in Baker Street. This role requires a highly organised and proactive individual to provide effective and efficient administrative support, ensuring the smooth operation of a busy department.
Responsibilities
- Provide administrative support to the Portfolio, Client Accounting and ESG teams within Property Asset Management (PAM).
- Coordinate internal and external meetings, conference calls and team events.
- Act as a professional ambassador for the team, building strong relationships with clients, colleagues and stakeholders.
- Support financial administration, including invoice coordination, WIP reconciliation, debtor reporting, referral tracking and expense claims.
- Attend team meetings, take minutes and track actions to completion.
- Manage diaries, meeting room bookings and scheduling requirements.
- Support business development activity, including coordinating meetings, preparing presentations, pitch documents and marketing materials.
- Prepare correspondence, reports, newsletters, occupier packs and other team documentation.
- Organise travel arrangements, conferences, away days and team events.
- Act as a key liaison for IT support and troubleshooting.
- Support customer due diligence (CDD), Know Your Customer (KYC) and conflict checking processes.
- Assist with the onboarding and induction of new starters, as well as leaver processes.
- Coordinate appraisal and performance review schedules where required.
- Collaborate with the wider business support network to share best practice and provide cover during peak periods.
- Support audit, compliance and risk management activities in partnership with the Best Practice team.
- Act as the team's Information Security Champion, promoting compliance with information security policies and procedures.
- Maintain accurate records, electronic filing systems and document management processes.
- Ensure management agreements and Duty of Care documentation are correctly completed and stored.
- Maintain contact information and records across Knight Frank systems.
- Provide support with property management systems, including instruction setup and inspection management.
- Act as Marketing Communications Coordinator (MCC) for the team.
- Coordinate the creation of marketing collateral, including event invitations, capability statements, CVs, track records and presentation materials.
- Support social media activity and internal communications.
- Assist with CRM management and business development initiatives.
- Coordinate pitch submissions, working closely with business development, marketing and creative teams.
- Organise and support events, including attendance where required.
- Contribute ideas and content for departmental initiatives and projects.
Requirements
- Minimum of 2 years' experience in an administrative, team assistant, operations or business support role.
- Strong organisational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Proactive, professional and solution-focused approach.
- Experience supporting senior stakeholders within a fast-paced environment.
- High attention to detail and strong administrative accuracy.
- Proficient in Microsoft Office, including Outlook, Word, Excel and PowerPoint.
- Ability to build strong working relationships across teams and with external stakeholders.
- Highly organised and able to manage competing priorities with confidence.
- A collaborative team player who enjoys supporting others and adding value.
- Comfortable working independently while taking ownership of tasks and projects.
