About the Role

The Project Coordinator is an integral part of our Events & Experiences team, supporting and executing tasks within the project lifecycle. This role assists the Project Lead and Project Team with event-related activities such as venue and supplier research, administrative tasks, and client meetings. The specific responsibilities will be determined by the Project Lead at the project's start and may evolve as the scope develops.

Responsibilities

  • Support the Project Lead and wider Project Team with planning and execution for in-person, hybrid, and virtual events.
  • Create, update, and file project working documents including master decks, meeting agendas and minutes, WIP Decks, and project timelines.
  • Schedule and take minutes from team and client meetings, adhering to FIRST standards.
  • Research appropriate project suppliers, venues, virtual & hybrid platforms, apps, and new technologies.
  • Liaise with suppliers and the internal contracting team for required paperwork to ensure proper supplier onboarding.
  • Coordinate event collateral and gifts for in-person and virtual events.
  • Process and track invoices and project expenses in collaboration with the Project Lead and Finance team.
  • Ensure timesheets are completed weekly and monitor accurate project team hours reporting.
  • Coordinate host teams, staffing, crew logistics management, and transportation with Project Leads for efficient use of people and time.
  • Work with the Global Creative Studio on creative asset tracking and trafficking from brief to production.
  • Source venues, book and attend site visits, and prepare venue sourcing presentations and site visit reports.
  • Review venue contracts and client addendums for accuracy and negotiate where applicable.
  • Support the team with ad hoc projects related to the function.
  • Act as a brand ambassador for FIRST, embodying the company’s core values: Ambition, Creativity, Excellence, Integrity, and Teamwork.

Requirements

  • Bachelor’s Degree preferred.
  • 1-2 years of experience required.
  • 20-40% travel required, with frequency varying based on customer, event, and business needs.
