About the Role

We are seeking an Administrative Coordinator to provide dedicated administrative and strategic support to the Chief Legal Officer (CLO) and Vice President, Sporting (VPS). The ideal candidate will demonstrate exceptional judgment and discretion, strong communication and organizational skills, and the ability to prioritize in a fast-paced environment. This individual should proactively anticipate the needs of both executives, ensuring smooth daily operations and effective communication across departments.

Responsibilities

  • Deliver strategic administrative support to the CLO and VPS, including managing schedules, coordinating travel, handling correspondence, and organizing meetings.
  • Act as a liaison between the CLO and VPS, and other internal departments and external stakeholders, ensuring seamless communication and timely updates on key initiatives.
  • Prepare materials for executive commitments, including presentations, press / speaking engagement briefings, project plans, and meeting summaries.
  • Facilitate cross-functional projects by working closely with the CLO and VPS, and other executives.
  • Schedule and attend meetings, take detailed notes and document action items for follow-up.
  • Monitor and prioritize incoming communications, ensuring timely responses and efficient workflow.
  • Maintain confidentiality and exercise discretion in handling sensitive information.
  • Assist in documenting processes and workflows to enhance operational efficiency.
  • Assist in managing document retention policy.

Requirements

  • 3+ years of progressive experience supporting senior executives or leadership teams.
  • Proven ability to coordinate complex projects and manage rigorous executive follow-up to ensure deliverables are met.
  • Exceptional written and verbal communication skills, with the ability to draft clear, concise professional correspondence.
  • Proficiency in Google Workspace (Gmail, Drive, Slides, Docs), Microsoft Office (Excel, PowerPoint), and Slack.
  • Excellent organizational, time-management, and problem-solving abilities, with a proven track record of prioritizing tasks in a dynamic environment.
  • Flexibility to work non-traditional hours, including evenings and weekends, to support executive needs as they arise.
  • Demonstrated ability to anticipate potential obstacles and proactively recommend ways to optimize an executive’s time.
  • Experience identifying and implementing opportunities for process improvement.
  • Advanced ability to navigate urgent, competing priorities while maintaining a focus on long-term strategic goals.
  • Highly self-started and capable of working independently.
