About the Role

The Ethical Oversight Assistant is an integral team member supporting the efficient operations of the Research Ethics Board (REB) and Research Ethics Office (REO). This role acts as an important operational and communications link between the REB, REO, and research teams, ensuring smooth functioning in a dynamic environment.

Responsibilities

  • Triages incoming submissions into the REO and follows up on missing documents or information.
  • Manages the REB general inbox and communications.
  • Issues approval letters for initial approvals, amendments, annual renewals, and terminations.
  • Maintains electronic records, including databases and lists, for task distribution and reporting.
  • Supports REB meetings by managing invitations, developing agendas, preparing materials, and handling communications.
  • Drafts and updates Standard Operating Procedures, Policies, and guidance documents.
  • Develops new forms.
  • Identifies and implements process efficiencies.
  • Supports annual reporting by tracking metrics and drafting materials.
  • Supports team initiatives, events, and activities.
  • Acts as a role model and champion for safe, best practices in daily activities.
  • Optimizes a safe environment for all through demonstrated principles, practices, and processes.

Requirements

  • Must reside and be legally eligible to work in Ontario.
  • An undergraduate degree in Health Sciences, Ethics, or a related field.
  • One year of progressively responsible and related experience.
  • Knowledge of quality principles and/or research ethics guidelines preferred.
  • Experience in an academic or healthcare environment highly preferable.
  • Excellent written, verbal, and interpersonal skills are essential.
  • Ability to work with diverse backgrounds.
  • Excellent organizational skills with attention to detail.
  • Experience working with Microsoft Office (Word, Excel, Access).
  • Experience in a dynamic environment with competing priorities and accountabilities.
  • Good work and attendance record required.
  • Demonstrated WCH vision, mission, and values.
  • Demonstrated record of good performance and acceptable attendance.
  • Professional behavior and communication meeting professional regulatory college/association and WCH standards.
  • Plays a critical role in advocating for safety.
