Responsibilities

  • Greet patients/family, schedule patient appointments, and schedule hospital and ambulatory admissions/procedures.
  • Answer the telephone promptly, deal with callers' needs, direct calls appropriately, take accurate messages, and deliver them to the appropriate individual.
  • Schedule future appointments, tests, and complete referrals as ordered by the physician.
  • Maintain communication resources, such as on-call schedules and physician phone numbers.
  • Prepare charts for new patients, ensuring all required forms are placed appropriately and converting from temporary to permanent records.
  • Request medical records and perform chart preparation to provide physicians with necessary information prior to visits.
  • Reconcile encounters daily according to policy and guidelines.
  • Monitor supply inventory and complete requisitions for supplies, forms, equipment, or services.
  • Perform various clerical duties including faxing, photocopying, filing, and mailings.
  • Obtain, verify, and update patient information while maintaining confidentiality.
  • Accurately complete necessary forms for patients.
  • Respect patient’s rights by knocking, calling patients by name, and identifying self before entering rooms.
  • Establish and maintain a positive working relationship with physicians and nursing staff.
  • Protect the privacy and confidentiality of patients and employees.
  • Communicate problems or equipment concerns promptly to the Nurse Manager.
  • Arrange for specialty equipment/services.
  • Interact with outside vendors/contracted services.
  • Arrange, type, and distribute schedules.
  • Maintain office supplies and equipment.
  • Provide training to other office staff.
  • Log surgical procedures.
  • Maintain the scheduling system, including rescheduling and canceling procedures.
  • Communicate repair orders to appropriate personnel.
  • Demonstrate good judgment in scheduling procedures to increase physician productivity.
  • Demonstrate understanding of fire safety and emergency procedures.
  • Perform other job duties as required.

Requirements

  • Ability to communicate in English, both orally and in writing.
  • Excellent interpersonal and customer service skills.
  • Accurate computer data entry skills.
  • Ability to organize and perform multiple tasks in a timely manner.
  • Basic proficiency in computer use required.
  • Previous experience with Standard Office Technology in a Window based environment preferred.
  • Experience with EHR, Practice Management System and Departmental/Ancillary Systems preferred.
