About the Role

The Clinical Materials Coordinator is responsible for the materials management function in the operating room. This role involves financial budget performance review, charge capture, new technology implementation, schedule forecasting, vendor compliance, specialty supply ordering, backorder/recall management, and supporting the Peri-op team in materials-related matters. The position also oversees cost-saving projects through statistics and report management, trials new products/equipment, and ensures their availability. The coordinator reviews budget variance reports, assesses costs associated with new products, and maintains communication with OR staff regarding materials.

Responsibilities

  • Responsible for the purchase, storage, inventory, and distribution of materials in the Operating Room, ensuring supplies and equipment are readily available and organized.
  • Orders all supplies, including specialty supplies and OR-Surgical inventory, managing backorders and finding replacements.
  • Oversees the receiving and stocking of all supplies and implants according to procedures.
  • Manages recall notifications and processes returns.
  • Evaluates products for proper use, improvement, and cost-saving opportunities, collaborating on contract negotiations.
  • Coordinates the development and submission of department capital equipment requests.
  • Monitors and processes requisitions for repairs, informing staff of equipment status and coordinating with Bio-engineering.
  • Ensures staff is informed about new products, substitutions, and equipment, including their location and availability.
  • Coordinates the ordering, receipt, and sequestering of special order implants and non-stock products for surgery.
  • Manages the inventory control system (QSight).
  • Manages the new technology/new product request process.
  • Updates bin locations in the EPIC system.
  • Runs daily reports for implant utilization and orders replacements to maintain par levels.
  • Participates in nursing administrative projects to meet TJC requirements related to materials and ensures compliance with TJC recommendations.

Requirements

  • 3-5 years of experience in logistics/supply chain operations in a healthcare environment.
  • Knowledge and skills with project management.
  • Knowledge and skills with ERP systems such as Lawson.
  • Knowledge and skills with inventory management.
  • Familiarity with operating room equipment.
  • Understanding of operating room products and their uses.
  • Knowledge of the procurement process.
  • Knowledge of materials management and supply chain operating and information systems.
  • High level of proficiency and demonstrated effectiveness in analytical thinking and problem-solving.
  • Ability to implement new programs related to increased departmental and organizational operating efficiency.
  • Highly effective verbal and written communication skills.
  • Ability to effectively manage assigned projects.
  • Moderate amount of walking.
  • Moderate to heavy stress from scheduling, meetings, maintaining financial cost/benefit reports, and meeting deadlines.
  • Ability to help lift heavy objects ten (10) to twenty (20) pounds.

  • Bachelors degree in Business, Healthcare Administration or related field preferred or matriculated in the required bachelor's program at the time of hire with a firm completion date.
  • AHRMM CMRP certification required or commit to successfully complete within one year of hire date
