About the Role
This role is an Assistant position within Investment Banking Capital Markets (IBCM), a division offering comprehensive advisory and capital-raising services. The environment is fast-paced and driven, requiring quick thinking, strong time management, exceptional communication, and keen attention to detail.
Responsibilities
- Coordinate complex calendars and schedules for senior bankers to ensure effective time management and prioritization of engagements.
- Facilitate travel plans for all team members, including planning, booking itineraries, organizing meetings, and managing expense reimbursements.
- Coordinate the timely submission of business expenses for personal remittance.
- Manage meeting setups across multiple time zones, including booking rooms, organizing passes, and coordinating catering.
- Collaborate with other assistants to ensure support coverage during short-term absences.
Requirements
- Previous relevant experience as a Personal/Executive Assistant within the finance industry.
- Solid organizational skills with a focus on complex diary management.
- Strong attention to detail and ability to communicate clearly, concisely, and confidently.
- Discretion and ability to handle sensitive matters confidentially.
- Ability to prioritize, work under pressure, and multitask.
- Ability to take initiative and be resourceful when finding solutions for bankers.
- Team player, supporting colleagues and peers where necessary.
