About the Role

This role is an Assistant position within Investment Banking Capital Markets (IBCM), a division offering comprehensive advisory and capital-raising services. The environment is fast-paced and driven, requiring quick thinking, strong time management, exceptional communication, and keen attention to detail.

Responsibilities

  • Coordinate complex calendars and schedules for senior bankers to ensure effective time management and prioritization of engagements.
  • Facilitate travel plans for all team members, including planning, booking itineraries, organizing meetings, and managing expense reimbursements.
  • Coordinate the timely submission of business expenses for personal remittance.
  • Manage meeting setups across multiple time zones, including booking rooms, organizing passes, and coordinating catering.
  • Collaborate with other assistants to ensure support coverage during short-term absences.

Requirements

  • Previous relevant experience as a Personal/Executive Assistant within the finance industry.
  • Solid organizational skills with a focus on complex diary management.
  • Strong attention to detail and ability to communicate clearly, concisely, and confidently.
  • Discretion and ability to handle sensitive matters confidentially.
  • Ability to prioritize, work under pressure, and multitask.
  • Ability to take initiative and be resourceful when finding solutions for bankers.
  • Team player, supporting colleagues and peers where necessary.
