About the Role

The Executive Assistant provides extensive support and guidance to an Executive Vice President (EVP), managing personal assistant duties including diary management, travel coordination, and filtering information. This role requires a good understanding of the business, dynamic prioritization, excellent time-management, organizational skills, and the ability to take initiative to support a busy executive. The EA will liaise with internal and external stakeholders on behalf of the Executive to ensure coordination of company activities, effective decision-making, and information flow.

Responsibilities

  • Ensure all activities comply with regulatory requirements, legislation, and Harbour Energy HSEQ procedures.
  • Ensure compliance with all health, safety, and environmental requirements within the office base.
  • Act as a welcoming point of contact for the Executive's office, managing an active calendar, and coordinating daily activities and meetings.
  • Work flexibly around the executive's schedule, including occasional out-of-hours commitments.
  • Provide comprehensive support to the Executive's leadership team, minimizing their administrative workload.
  • Handle intricate travel arrangements, including flights, accommodations, visas, and security logistics for the Executive and leadership team.
  • Organize and coordinate meetings, including issuing invitations, preparing documentation to a high standard, and ensuring accuracy and brand adherence.
  • Ensure the Executive is fully prepared for all meetings and events, including preparing reports, presentations, and communications.
  • Serve as the dedicated purchase requisition focal point, coordinating virtual card payments and guiding the team on SAP Concur.
  • Communicate directly and on behalf of the Executive with industry leaders, Board Members, other company executives, and business group leaders.
  • Understand wider business activities and maintain up-to-date knowledge of network contacts in the industry.
  • Provide proactive and collaborative support to other EAs and senior leaders to cover leave and ensure a seamless EA service.
  • Perform any other reasonable duties as instructed by the Executive and manager.

  • Demonstrable previous experience in a similar role within the UK.
  • Must have the highest level of ethics and good judgment.
