About the Role

The Patient Services Coordinator will professionally greet and welcome patients and their friends/family, register and schedule appointments efficiently, and handle incoming calls. This role supports the Revenue Cycle Department and ensures patients are cared for in a timely manner.

Responsibilities

  • Greet patients and visitors to the clinic in a prompt, courteous, and professional manner.
  • Check in patients and inform clinical staff of patient arrival.
  • Provide and explain paperwork for the patient to complete prior to examination.
  • Collect, proof for completeness, and file patient forms.
  • Update demographics and insurance information in the system.
  • Collect co-pays and balances; provide receipt.
  • Answer, screen, and respond to routine questions, route to appropriate personnel, or take thorough messages.
  • Page clinic personnel as appropriate.
  • Communicate messages in an accurate and timely manner according to procedures.
  • Check patients out after examination.
  • Schedule returning appointments in accordance with physician and/or office guidelines.
  • Provide patients with appointment details such as time, location, directions, instruction sheets, and other details.
  • Record patient cancellations and missed appointments; reschedule appointments.
  • Notify appropriate staff of the cancellation and make note in patient chart.
  • Provide general administrative support by filing charts and forms.
  • Maintain lobby area in a neat and orderly manner.
  • Maintain a legible supply of forms and appropriate office supplies required for daily activities.
  • Adhere to confidentiality, state, federal, and HIPPA laws and guidelines with regards to patient’s records.
  • Type memos and forms.

Requirements

  • High school diploma or equivalent required.
  • Proficiency with computer systems and Microsoft (Outlook, Office Word, and Excel) required.
  • Must successfully complete required e-learning courses within 90 days of occupying position.
  • At least eighteen (18) months front medical office receptionist experience with insurance forms and scheduling software required (for Level 2).
  • At least 5 years front medical office receptionist experience with insurance forms and scheduling software required (for Level Sr).
  • Regularly required to sit and use hands to finger, handle, or feel.
  • Occasionally required to stand, walk, and reach with hands and arms.
  • Occasionally lift and/or move up to 30 pounds.
  • Requires vision and hearing corrected to normal ranges.
