About the Role
The Patient Care Specialist provides essential administrative support for effective patient care under the direct supervision of a Nurse Practitioner or Physician Assistant. This role focuses on delivering outstanding customer service, maintaining a welcoming atmosphere, and managing front office processes including patient registration and insurance practices.
Responsibilities
- Greet, register, and discharge all patients with a high level of customer service.
- Cross-train and assist with back-office duties as needed within the scope of practice.
- Accurately collect and input patient demographics and financial information during registration.
- Verify and update all patient insurance information at the time of registration.
- Maintain strong knowledge of Medical Insurance Plans, including co-pays, deductibles, and coverage limits.
- Stay up-to-date with all changes to Government and Commercial Insurance Plans.
- Maintain a high-level understanding and knowledge of the Fast Pace Self-Pay program.
- Collect all insurance, co-pays, deductibles, or Self-Pay amounts at the time of registration.
- Answer the phone in a polite, patient-centered manner, demonstrating a commitment to positive patient experiences.
- Maintain Fast Pace Customer Service levels and facilitate patient flow by notifying the provider of patient arrival, managing delays, and communicating appropriately with patients and clinical staff.
- Retrieve, fax, or mail medical records to primary care providers as needed, coordinating the medical records process for continuation of care.
- Willing to cross-train on back-office clinical skills to perform in a cross-functional role.
- Complete all mandatory compliance training and consistently follow processes and procedures.
- Maintain friendly and cordial relations with clients and employees, fostering a positive work atmosphere.
- Perform the physical, use of senses, cognitive, and environmental functions of the position.
- Fold towels, clean tables, and assist patients with exercise equipment.
- Welcome new employees, facilitate introductions, provide clinic tours, and offer an overview of clinic processes.
- Actively assist new employees with learning activities and completing required training.
- Support new employee training through job shadowing, demonstration, and coaching.
- Comply with Company standards of operations.

- Demonstrate proficiency with basic PC skills, including typing, mouse utilization, and basic software like MS Outlook and Word.
- Maintain the overall cleanliness of the office, including taking out garbage, organizing desk space, and ensuring cleanliness of patient and office areas.
- Keep the reception area clean and organized.
- Perform other duties as assigned by management.
Requirements
- High School Diploma or its equivalent.
- Current CPR license (required within 7 days of hire).
- 1 year of customer experience, preferably in urgent care (Level 1).
- 3 years of experience in billing and coding (Level 2 & 3).
- Intermediate computer skills, including typing 70-100 words per minute (Level 2 & 3).
- Knowledge of Microsoft Office, including Word and Excel (Level 2 & 3).
- Intermediate skills in Excel, including basic formulas and VLOOKUP (Level 2 & 3).
- 1 year of medical office experience with basic medical terminology and insurance knowledge preferred.
- 1 year experience with basic PC use, including mouse and standard software like MS Office (Outlook and Word).
- Ability to comply with Company standards of operations.
