About the Role
As a Reception Coordinator, you will be the welcoming face and first point of contact for visitors, clients, and employees in a dynamic corporate environment. This role combines professional hospitality, administrative support, and operational coordination to create a welcoming, efficient, and professional workplace. You will manage front desk operations, coordinate meeting room logistics, support facility services, and ensure seamless communication across teams, contributing to JLL's promise of shaping a brighter way.
Responsibilities
- Greet visitors, clients, and guests warmly and professionally, managing visitor registration, badge issuance, and security protocols.
- Maintain a clean, organized, and welcoming front desk reception area, including lobby aesthetics.
- Answer and direct incoming calls promptly and professionally, taking accurate messages and routing inquiries.
- Coordinate meeting room bookings, prepare spaces with equipment, and provide hospitality support including catering.
- Receive, sort, and distribute mail and packages, process outgoing mail, and maintain tracking logs.
- Issue temporary access cards, manage visitor access permissions, and monitor entry points.
- Serve as the first point of contact for workplace service requests, logging and tracking resolution.
- Provide general administrative assistance, including photocopying, scanning, printing, document preparation, and maintaining office supplies.
- Troubleshoot basic audio-visual equipment issues in meeting rooms and coordinate technical support.
Requirements
- High school diploma or equivalent required.
- Minimum 1-2 years of experience in a reception, front desk, or customer service role in a professional office environment.
- Excellent communication skills with the ability to interact professionally with diverse audiences.
- Strong organizational abilities and attention to detail.
- Capability to manage multiple tasks simultaneously in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Comfort learning new workplace technologies and service management systems.
- Professional demeanor with a service-oriented mindset and positive attitude.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing priorities.
- Demonstrated problem-solving skills.
