About the Role

The Government Grants Manager will lead the organization’s government grants portfolio, overseeing the full grant lifecycle from prospect identification and application development through award management, reporting, compliance, and closeout. This role requires exceptional attention to detail, strong project management skills, excellent writing and communication abilities, and the ability to manage multiple deadlines while ensuring compliance with government requirements.

Responsibilities

  • Manage the full lifecycle of government grants, including research, prospecting, applications, contracts, budgets, amendments, reporting, renewals, and closeout.
  • Monitor funding opportunities from New York City, New York State, and federal agencies and assess alignment with URI’s programs and priorities.
  • Maintain accurate grant calendars, submission schedules, reporting deadlines, deliverables, and compliance requirements.
  • Coordinate with program, finance, and leadership teams to develop competitive proposals, accurate budgets, work plans, and supporting documentation.
  • Track awards and expenditures to ensure compliance with approved budgets, funding restrictions, and grant terms.
  • Identify potential compliance issues and work with internal stakeholders to resolve them promptly.
  • Serve as an internal expert on government grant submission and management portals, including relevant NYC, New York State, and federal systems.
  • Navigate and maintain organizational information, applications, award records, reports, and supporting documentation across multiple government platforms.
  • Maintain accurate and timely grant records in the organization’s CRM and grant-management systems.
  • Develop and maintain systems for tracking applications, awards, contacts, deadlines, deliverables, reporting requirements, and funding history.
  • Ensure consistency and accuracy of grant data across government portals, CRM platforms, financial systems, and internal tracking tools.
  • Write, edit, and coordinate government grant applications, renewal proposals, progress reports, and final reports.
  • Gather program outcomes, performance data, financial information, and supporting materials from internal departments.
  • Translate program activities and outcomes into clear, compelling narratives that meet government funder requirements.
  • Ensure all submissions are complete, accurate, compliant, and submitted by required deadlines.
  • Maintain organized electronic grant files and documentation for audits and internal review.
  • Develop professional relationships with government agency representatives and funding officers as appropriate.
  • Monitor changes in government funding requirements, regulations, application procedures, and reporting standards.
  • Support audits, monitoring visits, site visits, and government funder inquiries.
  • Communicate grant requirements and deadlines effectively to program, finance, and executive staff.

Requirements

  • 5+ years of experience in government grants management, nonprofit development, public-sector funding, contracts management, or a closely related field.
  • Experience working with government contracts, procurement processes, reimbursement requirements, and performance-based funding.
  • Demonstrated experience managing government grants from NYC, New York State, and/or federal agencies.
  • Direct experience with New York City government agencies and funding systems.
  • Experience with New York State and federal grant portals, including systems used for federal funding applications and administration.
  • Ability to quickly learn new platforms.
  • Strong understanding of government grant compliance, budgets, reporting requirements, and documentation standards.
  • Demonstrated proficiency with CRM platforms such as Salesforce or similar systems and grant-management databases.
  • Experience maintaining complex grant records and reporting data is essential.
  • Familiarity with nonprofit finance, government grant budgeting, and audit requirements.
  • Exceptional written and verbal communication skills, including the ability to write persuasive grant narratives and detailed compliance reports.
  • Excellent organizational and project-management skills with the ability to manage multiple concurrent grants and deadlines.
  • Advanced proficiency with Microsoft Office, particularly Excel and Word.
  • Strong analytical skills and exceptional attention to detail.
  • Will be required to read printed and handwritten materials.
  • Will be required to manipulate the computer mouse and keyboard.
  • Will be required to read information on computer screen.
  • Must be able to sit for extended periods of time.
  • Must be able to enter information in digital forms and spreadsheets.
