About the Role

Shulman & Partners LLP is seeking an organized and proactive Office Administrator to serve as the operational anchor for their Toronto office. This role is execution-focused, ensuring the smooth day-to-day running of the office while supporting engagement initiatives and firm-wide projects.

Responsibilities

  • Serve as the first point of contact for clients, visitors, and team members.
  • Manage the front desk, phones, and common areas to ensure professional and warm client interactions.
  • Receive, distribute, and coordinate incoming and outgoing mail, deliveries, and courier services.
  • Handle file retrieval as needed.
  • Maintain office organization, cleanliness, and stock levels, including managing snack and lunch orders, supplies, and vendors.
  • Address equipment issues and coordinate meeting room setups.
  • Coordinate recognition moments, onboarding and offboarding logistics, and internal events.
  • Support employer brand initiatives and firm participation in external events.
  • Assist with HR, IT, Marketing, and firm-wide projects as needed.

Requirements

  • 2+ years of hands-on experience in an office administration, reception, or coordinator role, ideally in a professional services environment.
  • Strong written and verbal communication skills.
  • A warm, professional presence with clients and colleagues.
  • Ability to manage multiple priorities and deadlines without losing track of details.
  • Discretion and sound judgment, including knowing when to escalate rather than proceed independently.
  • Ability to learn quickly.
  • Must not review, assess, or make judgment calls on the contents of legal documents.
  • Must not accept service or sign legal documents on behalf of a lawyer.
