About the Role

The Accounting Administrator, Project Bookkeeping, is responsible for providing administrative support to the Project Bookkeeping department, primarily through the payment process.

Responsibilities

  • Coordinating and distributing all payments for signature to the signing officers and to any related partners, as well as following up on outstanding signatures
  • Maintaining a payment distribution list which monitors outgoing and incoming cheques (i.e., mailed or picked up)
  • Obtaining any outstanding documents before releasing payments (WSIB, statutory declarations, site approvals and contract status)
  • Responding to all vendor queries, both verbal and written, regarding status of payments and invoices
  • Reconcile vendor statements and aging reports to ensure all invoices are processed
  • Updates and maintains all partner and vendor contact information
  • Perform banking duties at bank branch, including certifying cheques, pick up correspondence, and other banking duties as required
  • Lunch and back-up coverage to construction reception
  • Other office duties as required

Requirements

  • Minimum 1 year office administration experience

Skills

  • Exceptional communication skills (written and verbal) with a strong customer service orientation and friendly disposition
  • High level of organizational skills
  • Detail oriented
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
