About the Role

As Talent Operations Coordinator supporting R&D, you're the reason candidates leave every interaction feeling genuinely taken care of—and the person our researchers, engineers, and R&D leadership count on when they need something to just work. Part calendar guru, part host, part quiet fixer of whatever's about to go sideways, you make sure hiring never becomes the bottleneck. The people you help bring on now will shape what Cognition's R&D team looks like for years. This role fits you if you get a kick out of solving logistics puzzles fast, don't mind things changing under you week to week, and actually enjoy the chaos of meeting new people all day.

Responsibilities

  • Run point on scheduling and interview logistics for the R&D team, juggling calendars, time zones, and last-minute changes.
  • Greet and host candidates onsite, adjusting to make each person feel comfortable.
  • Keep candidates, interviewers, and hiring managers informed with clear, timely updates.
  • Collaborate with recruiters and hiring managers, flagging issues and adjusting plans.
  • Maintain clean ATS data (Ashby) to ensure the pipeline is accurate.
  • Analyze R&D team hiring processes and meeting structures to identify and implement improvements.
  • Compile data on hiring pace, time to hire, and team growth for leadership.
  • Assist in organizing team events, offsites, and research presentations.
  • Proactively identify and address process inefficiencies to build more scalable solutions.

Requirements

  • 2+ years of experience in recruiting coordination, recruiting operations, or talent operations in a fast-paced, technical environment.
  • Meticulous attention to detail, especially regarding scheduling and time zones.
  • Proactive problem-solver who identifies and fixes inefficient processes.
  • Genuine care for the experience of all parties involved in the hiring process.
  • Ability to manage multiple concurrent tasks effectively without stress.
  • Proven reliability and follow-through.
  • Strong interpersonal skills and ability to connect with diverse individuals.
  • Capability to handle sensitive information with discretion.
  • Experience supporting a technical or research team is a plus.
  • Familiarity with Ashby ATS is a plus.
  • Must be based in San Francisco or willing to relocate.
