About the Role

HelloFresh is seeking a Creative Systems & Optimization Manager to own the operating model behind the XPOD studio. This role will manage the intake process for various channels, ensuring efficient production of high-impact creative assets for growth. The position requires a systems thinker focused on efficiency, automation, and improving creative team workflows.

Responsibilities

  • Own the design and evolution of the studio's operational workflows, building flexible and scalable frameworks.
  • Apply project management fundamentals to set milestones, drive decisions, and ensure project completion.
  • Manage all studio intake as the single point of contact for video briefs, handling scoping, prioritization, and routing.
  • Identify, evaluate, and implement automations, AI tools, and templates to enhance operating efficiency.
  • Maintain studio performance data and reporting, including trends, production velocity, and project status.
  • Coordinate schedules and workflows with creative operations and Growth Operations teams.
  • Ensure creatives have necessary resources and that no questions cause delays.
  • Shape expectations, define project scope, and manage stakeholder relationships, including negotiating requests against budget and priority.
  • Own resourcing and allocation across the creative team, balancing workload and timelines.
  • Onboard, train, and manage freelance creatives and vendors.
  • Partner with global stakeholders on localization, translation, and versioning of assets.
  • Ensure projects launch on time and to expectation, and drive post-campaign assessments.
  • Apply critical thinking to resolve competing business interests, cross-functional friction, and risks.

  • Fluent in paid social media channels, growth funnels, and performance marketing.
  • Empowered self-starter with strong time, people, and stakeholder management instincts.
  • Confident negotiator on time, scope, budget, and resources.
  • Systems thinker who prefers designing frameworks.
  • Proactive AI power-user focused on building and maximizing automation.
  • Natural coach, comfortable onboarding, training, and developing freelance talent.
  • Able to run high volumes of concurrent projects under tight deadlines.
  • Able to own and guide projects from infancy to execution.
  • Enjoys working in an ultra-fast-paced environment.
  • Creative thinker who uses non-linear approaches and critical thinking to problem-solve.
  • Willing to challenge assumptions and the status quo for iterative, adaptive change.
  • Solution-oriented, flagging and fixing problems proactively.
  • Experience designing or evolving operational workflows and resourcing frameworks.
  • Experience working in a project management system (e.g. Jira, Airtable).
  • Experience managing, training, or onboarding freelance or contract creative talent.
  • Familiarity evaluating or implementing automation, AI tools, or templated workflows.
  • Appreciation for creative and production workflows and experience working closely with creative teams.
  • Excellent interpersonal, verbal, and written communication skills.
  • Experience negotiating scope and budget with non-creative stakeholders.
  • Experience managing 360 campaigns spanning multiple deliverables.
  • Exposure to international/localization workflows is a plus.
