About the Role
The Medical Office Coordinator provides indirect patient care in an office setting, coordinating phone calls, appointments, prescription authorizations, and provider schedules. This role is an integral part of the patient's care team, requiring knowledge of medical terminology and the ability to differentiate between clinical and non-clinical matters.
Responsibilities
- Ensures charts, documents, and clinical testing are prepared, coordinated, and completed prior to patient appointments.
- Acts as a clerical member of the patient's care team.
- Utilizes phone notes for all communication and documentation with patients.
- Answers phone calls professionally, referring calls to clinical staff when appropriate.
- Reviews schedules daily, identifying and communicating any problem areas to the Practice Manager.
- Handles prior authorizations for all medications.
- Performs order entry, including entering orders, medication referrals, and clarifying orders with providers.
- Retrieves records from all sources for follow-up appointments.
- Faxes tests, records, and signed orders to providers/patients.
- Completes forms, obtains provider signatures, makes copies, and sends them to the recipient.
- Enters prescription refill requests and processes prescriptions as directed by the provider.
- Works referrals to ensure timely scheduling of appointments for testing and new consults.
- Manages provider schedules, including canceling and rescheduling appointments.
- Cross-trains in other clerical positions as applicable.
- Sends letters to patients regarding normal test results.
- Sends letters to insurance companies appealing denied services or medications.
- Facilitates provider-to-provider calls.
- Performs other duties as required.
Requirements
- High School Diploma or equivalent
- 1-2 years of experience in a healthcare-related setting
- Demonstrated ability to prioritize work and communicate effectively
- Strong computer skills
