About the Role

The Executive Assistant supports the Chief with calendaring, logistics, planning, and execution to ensure team meetings and events are successful. This role manages travel support for the Chief and team members, oversees financial responsibilities for the Chief's office, and provides front-line communication support with discretion and confidentiality. The Executive Assistant also assists the Chief of Staff with project tasks to ensure goals and implementation are met.

Responsibilities

  • Manage financial matters for the Office of the Chief with integrity, excellence, and diligence.
  • Understand the Chief's voice to draft correspondence, presentations, and manage front-line communications.
  • Ensure the Chief's email inbox is categorized and organized, with all emails receiving appropriate and timely responses.
  • Manage team meeting logistics, take notes, disseminate meeting notes and next steps, and follow up on commitments.
  • Manage the Chief’s calendar, assist with travel arrangements (flights, hotel, car rentals), and review and calendar all meeting requests.
  • Support the Chief of Staff’s key initiatives, projects, and events through timely task completion.
  • Provide excellent and timely internal and external customer service on behalf of the Chief.
  • Perform additional duties as assigned.

Requirements

  • 5-7 years related experience.
  • Demonstrated ability to handle confidential information with discretion.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to details.
  • Well-rounded interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
  • Strong computer literacy that includes an understanding of Microsoft Office Suite (i.e., Word, Excel, PowerPoint).
  • Highly resourceful, problem-solving team-player and strong individual executor.

Salary/Compensations

  • $58,400 - $67,200
  • Eligible for performance pay based on organizational performance and goal attainment.
