About the Role

The IR Coordinator serves as the first point of contact for patients, managing phones and administrative tasks to assist patients and visitors. This role requires excellent customer service skills and adherence to HIPAA policies.

Responsibilities

  • Serve as the first point of contact for patients, providing courteous service in person and over the phone.
  • Handle calls with sound judgment, especially concerning sensitive medical information, and comply with HIPAA policies.
  • Use the EMR system to schedule appointments based on physician availability and patient preferences.
  • Accurately schedule appointments according to clinic and practice guidelines.
  • Update patient demographics and insurance information thoroughly and accurately during scheduling.
  • Coordinate surgical schedules with the hospital.
  • Confirm, cancel, reschedule, and update patient appointments as requested.
  • Obtain pre-authorization for medical procedures from insurance companies and communicate patient financial responsibility.
  • Collect patient payments due prior to procedures.
  • Prepare patient charts for procedures, including armbands and required forms.
  • Check patients in for procedures, review paperwork, obtain insurance card copies, and schedule follow-up appointments.
  • Notify medical assistants when patients are ready to be seen.
  • Scan and file all procedural paperwork into patient medical records.
  • Address patient concerns efficiently and effectively using customer service principles.
  • Communicate patient concerns to physicians and other staff, and consult with the office manager on administrative issues.
  • Complete requests from other medical offices, such as faxing patient records.
  • Perform other duties as assigned, which may change with or without notice.

Requirements

  • High School Graduate or GED equivalent.
  • Organizational skills training preferred.
  • Computer courses preferred.
  • 2 years previous experience in a medical office setting preferred.
  • 2-3 years’ experience working in a business office.
  • Previous experience with multi-phone lines.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Thorough knowledge in computer information systems.
  • Ability to frequently stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl and talk or hear.
  • Ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
