About the Role

The Receptionist is responsible for answering calls and receiving visitors in a courteous and professional manner, while also providing clerical support to staff as needed.

Responsibilities

  • Manage all reception functions, including registering and announcing walk-ins and re-routing incoming calls.
  • Verify, confirm, and/or process medical insurance information.
  • Manage the PTAR system for dispensing Metrocards and transportation reimbursement.
  • Organize clinical records, including filing, managing forms, creating and closing patient charts.
  • Operate and organize the appointment system for clinical staff, including confirming appointments and rescheduling missed ones.
  • Prepare charts daily for use.
  • Make copies and send faxes as requested by staff.
  • Hand out client satisfaction surveys.
  • Assist Program Secretary and/or Billing Clerk with clerical tasks.
  • Provide coverage for the reception desk during mornings, evenings, and weekends.
  • Open and close the facility during operating hours.
  • Perform other duties as assigned by management.

Requirements

  • High School Diploma or GED.
  • Minimum of 1 year of office experience.
  • Prior healthcare reception experience preferred.
  • Superior organizational and analytical skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and manage multiple tasks in a fast-paced environment.
  • Ability to work collaboratively with a variety of people.
  • Aptitude for teamwork.
  • Ability to use public transportation for travel to program locations throughout New York City.
  • Ability to perform each essential duty satisfactorily.
  • Ability to understand sensitive information and maintain confidentiality.
  • Strong interpersonal and communication skills at all levels of the organization.

  • Occasionally required to climb or balance and stoop, kneel, crouch, or crawl.
  • Must frequently lift and/or move up to 20 pounds.
