About the Role
To support Occupier and Demised Services in delivering high-quality management services for Savills clients and tenants.
Responsibilities
- Ensure Datastation, Elogbooks, and other CAFM or Health & Safety systems are up-to-date and complete.
- Ensure quoted reactive works are handled promptly and Elogbooks data is accurate.
- Adhere to client parameters for expenditure and instructed works.
- Ensure compliance with legal and statutory requirements, including Health and Safety, where Savills is responsible.
- Achieve and maintain a target compliance rating of 90% for managed sites.
- Update Datastation actions monthly until completion.
- Complete and upload site inspection checklists within specified timeframes.
- Complete all internal training courses via Savills Pathways in a timely manner.
- Record utility consumption at all sites and ensure it's on the site inspection checklist.
- Maintain high site standards for cleaning, repair, and presentation within budget.
- Ensure all expenditure is client-payable and works are not instructed outside of Savills' responsibility.
- Act as a liaison between clients, third-party management companies, and landlords.
- Visit tenant sites to report and resolve issues.
- Develop strong relationships with site representatives, manage client satisfaction, and ensure they have relevant contact details.
- Be available for emergency situations and attend properties as needed.
- Adhere to dress codes and site rules regarding Personal Protective Equipment.
- Evaluate contractor performance against specifications and report shortcomings.
- Inform the Portfolio Manager of changes in store operations or closures.
- Code P2Ps via Elogbooks and process allocated tasks via Proactis promptly.
- Prepare and implement contingency plans for site attendance, including cover for absences.
- Provide detailed handover notes for annual leave.
- Produce and coordinate information according to Savills and client requirements.
- Keep the Portfolio Manager informed of site issues impacting trading.
- Manage and liaise with staff on strategic and operational issues.
- Establish and implement best practices and ensure safe working practices.
- Maintain clear communication lines with the Portfolio Manager, Suppliers, and Clients.
- Complete all compulsory training and identify development needs.
- Take on new sites and efficiently handover sold/lost sites.
Requirements
- Self-motivated individual with excellent interpersonal skills.
- Excellent organizational and time management skills with flexibility.
- Ability to handle numerous projects with diverse customers, suppliers, and property owners.
- Experience and knowledge of achieving high standards in property management.
- Knowledge and understanding of service charge budget preparation, adhering to agreed times and costs.
- Strong overall experience in a similar environment.
