About the Role

As the Receptionist, you will be the welcoming face and voice of our organization. As the first point of contact for clients, visitors, and employees, the Receptionist plays a crucial role in creating a positive and professional impression. The ideal candidate will handle phone calls, greet guests, and assist with administrative tasks, ensuring smooth operations and exceptional customer service. Responsibilities

  • Greet visitors warmly and professionally, making them feel welcomed and attended to from the moment they arrive.
  • Efficiently handle phone calls, transferring calls to the appropriate personnel or taking messages accurately.
  • Respond to inquiries and requests from visitors and employees promptly, helping or directing them to the relevant departments or individuals.
  • Ensure a seamless and pleasant experience for clients and guests visiting the premises.
  • Attend to client needs and special requests, demonstrating a high level of customer service and professionalism.
  • Maintain a friendly and approachable demeanor, addressing concerns and resolving issues in a timely manner.
  • Act as the central point of contact for internal and external communication.
  • Relay messages promptly and accurately to the intended recipients via various communication channels, including phone, email, or in person.
  • Keep track of appointments, meetings, and visitor schedules to facilitate smooth interactions within the organization.
  • Assist in sorting and distributing incoming mail, packages, and deliveries to the appropriate departments or personnel.
  • Organize and maintain office documents, records, and files to ensure easy accessibility and efficient retrieval.
  • Monitor and manage office supply inventory, replenishing items as needed to support smooth office operations.
  • Collaborate with various departments to schedule and coordinate meetings, conferences, and company events.
  • Assist in booking and arranging facilities for these events, ensuring all necessary resources are available and set up as required.
  • Monitor access to the premises, verifying the identity of visitors and ensuring compliance with security protocols.
  • Respond to emergencies or security incidents calmly and promptly, alerting appropriate personnel or authorities as needed.
  • Participate in safety drills and training to maintain a secure and prepared workplace environment.
  • Actively participate in training programs, including utilization of the Cornerstone platform, to enhance knowledge and skills in the role of Receptionist.

Requirements

  • Ability to understand client inquiries and provide effective responses.
  • Experience using Microsoft Office products and applications.
