About the Role
The Client Coordinator provides operational, administrative, and project coordination support to Tax business units, acting as a central point of contact to ensure consistent, high-quality, and risk-aware service delivery. This role supports engagement initiation, documentation, tracking, and process discipline.
Responsibilities
- Complete engagement initiation and onboarding activities, including client roll-forward, KYC, relationship checks, engagement acceptance, engagement letter tracking, job code setup, and required documentation.
- Collect and validate client, engagement, scope, fee, and opportunity information to support engagement setup and delivery readiness.
- Maintain accurate client, engagement, and deliverable information across firm systems and coordinate with relevant stakeholders for timely completion of onboarding activities.
- Support proposal and RFP processes by coordinating timelines, templates, credentials, team biographies, case studies, approvals, formatting, and submission requirements.
- Gather inputs from technical and client-facing teams for proposals and track proposal milestones, owners, dependencies, and outstanding items.
- Collaborate with support teams to ensure alignment with firm brand, quality, and standard language requirements.
- Provide project coordination support for high-volume or complex engagements, including workplans, action logs, deliverable trackers, and deadline calendars.
- Monitor assigned and unassigned work, completion status, and potential bottlenecks.
- Prepare and maintain reporting, dashboards, and progress summaries.
- Coordinate deliverable readiness, filing, and delivery support, document status, access requirements, and follow-up actions.
- Escalate risks, blockers, capacity constraints, missing information, or process issues as appropriate.
- Support client activity coordination, including invitations, RSVP tracking, event follow-up, client research, account updates, and relationship support activities.
- Prepare client deliverables, emails, attachments, and supporting documentation for review and release.
- Build and maintain effective relationships with stakeholders across various departments to support timely delivery.
- Monitor activities against service levels and deadlines, and escalate delays or quality concerns.
- Uphold PwC independence, risk, quality, and confidentiality requirements.
- Provide flexible support aligned to business unit needs, including onboarding, opportunity tracking, deadline management, delivery coordination, reporting, and administrative support.
- Support operational projects or bulk-processing activities such as engagement letter uploads, record creation, questionnaire coordination, tracker updates, and document retrieval.
- Coordinate with global PwC offices, delivery centres, and support teams to manage cross-territory deliverables.
- Balance national processes with business unit-specific requirements to drive consistency, scalability, and quality.
- Document and maintain repeatable processes, checklists, SOPs, and practical guidance to support consistency, onboarding, training, and knowledge sharing.
- Drive process improvement and standardization by identifying opportunities to reduce duplication, improve handoffs, and increase adoption of firm-approved tools, automation, and AI-enabled solutions.
- Contribute insights to enhance the Client Coordinator support model.
Requirements
- Post-secondary education in business administration, project coordination, operations, or a related discipline is preferred.
- Equivalent professional experience may be considered.
- Experience in administration, operations, project coordination, client service, Tax Operations, service delivery, billing coordination, or a related practice support role is required or strongly preferred.
- Experience supporting Tax or other professional services teams is preferred.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities, stakeholders, and deadlines.
- Professional, proactive, and client service-oriented approach with sound judgment, discretion, and awareness of confidentiality, independence, risk, and quality requirements.
- Proficiency with firm systems, data, document repositories, spreadsheets, and workflow tools.
- Commitment to continuous improvement, automation, and technology-enabled ways of working.
- Flexibility to support peak periods and changing business needs.
- Bilingual English/French capability may be required depending on the role, business unit, or location.
- Strong written and verbal communication skills.
- Ability to collaborate across business unit leaders, engagement teams, Tax Operations, and enabling functions.
- Support a strong client service experience through effective coordination, accurate client information management, timely follow-up, and adherence to requirements.
- Apply sound judgment to determine when to act, clarify, or escalate matters related to onboarding, engagement setup, client activities, delivery tracking, and data quality.
- Manage competing priorities, stakeholders, and deadlines in a fast-paced environment.
- Identify incomplete, duplicate, or outdated information and use practical problem-solving skills to support data integrity, reduce duplication, improve handoffs, and drive continuous improvement.
- Contribute to the quality, timeliness, and consistency of engagement and client support activities.
- Reduce administrative burden, strengthen process discipline, and proactively escalate risks, blockers, missing information, or quality concerns.
- Demonstrate informal leadership through ownership of coordination activities, effective stakeholder management, documentation of repeatable processes, and sharing practical insights.
- Provide informal coaching, knowledge-sharing, and process guidance.
- Promote consistency, self-sufficiency, quality standards, resilience, and professionalism across teams and support resources.
- Requires strong attention to detail and the ability to prioritize across multiple stakeholders, competing deadlines, engagement documentation, system inputs, deliverables, and client information in a fast-paced environment.
- Primarily office-based role requiring flexibility to support peak Tax periods, proposal deadlines, and high-volume client or onboarding activities.
- Occasional extended hours across Canadian time zones and limited travel.
- When applying to a Quebec based opportunity, fluency in French is required.
- Outside of Quebec, fluency in French is an asset.
