About the Role

As an Operations Data Specialist at Anderson Center for Autism, you will play a vital role in supporting the Operations Department by coordinating work requests, maintaining critical data systems, tracking budgets and expenses, overseeing records and reporting functions, and helping ensure the efficient management of maintenance operations across the organization. This position is ideal for a highly organized professional who enjoys working with data, managing multiple priorities, collaborating with various departments, and supporting projects that have a direct impact on organizational success. Your work will help ensure that facilities, resources, and operational systems remain organized, efficient, and responsive to the needs of the Anderson community.

Responsibilities

  • Manage service requests and maintenance work orders through the agency's Computerized Maintenance Management System (CMMS), ensuring accurate tracking, documentation, scheduling, and reporting of maintenance activities.
  • Maintain critical facilities and asset information, including equipment records, inventory data, vehicle registrations, insurance records, and preventative maintenance schedules.
  • Support maintenance planning and scheduling activities by coordinating work requests, updating project information, and ensuring operational priorities are completed efficiently.
  • Assist with inventory management by monitoring supply levels, maintaining accurate records, preparing materials for distribution, and ensuring departments have the resources needed to complete projects successfully.
  • Support operating and capital budget activities by tracking expenditures, processing vendor invoices, monitoring project costs, and maintaining accurate financial records.
  • Prepare and analyze operational, financial, labor, and cost-center reports to inform leadership decisions and maintain accountability.
  • Collaborate with Finance and Operations leadership to reconcile data, resolve discrepancies, improve processes, and support organizational reporting requirements.
  • Assist with regulatory and operational reporting, including transportation, fuel usage, purchasing, and other department-specific reporting obligations.
  • Provide administrative support to the Operations Department through scheduling, calendar coordination, meeting support, correspondence preparation, records management, and general office functions.
  • Coordinate preventative maintenance activities, vendor schedules, contractor services, and other operational activities that support the efficient functioning of agency facilities.
  • Maintain organized filing systems, documentation, and records that support compliance, operational efficiency, and effective project management.
  • Serve as a collaborative resource to Operations leadership and staff by helping identify solutions, improve workflows, and support the department's strategic goals.
  • Help ensure that the facilities and operational systems supporting Anderson's programs continue to provide a safe, efficient, and high-quality environment for the individuals we serve.

Experience Level

  • Minimum of three years of related office, administrative, operations support, project coordination, or data management experience required.
  • Experience working in an operations, facilities, maintenance, logistics, or project support environment preferred.

Salary/Compensations

  • $21.52 - $25.77 Hourly
