About the Role
This position serves as an assistant in the Spiritual Life Department, providing administrative support, managing guest relations, and ensuring building upkeep. The role requires acting as a hospitable host for guests in the Pastoral Respite Ministry and living on campus.
Responsibilities
- Provide administrative support, handle telephone calls and emails.
- Register and welcome guests.
- Assist in general building cleanliness and maintenance.
- Act as a hospitable host/hostess for guests in the Pastoral Respite Ministry.
- Support the Spiritual Life Center, staff, and center coverage.
- Meet and greet incoming pastoral respite guests.
- Ensure rooms are ready for guests prior to check-in, including Survey cards.
- Monitor the cleanliness of the Brookside and Trinity buildings.
- Assist the Director in scheduling guest arrivals and departures for pastoral respite.
- Check with guests daily at mealtime to resolve issues and ensure satisfaction.
- Ensure refreshments are stocked and available to Spiritual Life guests.
- Support the Director in all programming areas including planning, coordinating, and assisting chapel and Vespers services, staff services and support, community outreach, Spiritual Life conferences and Institutes, scheduling Spiritual Direction sessions, administrative duties related to pastoral care (weddings, memorials, baptisms) and other programming duties as assigned.
- Schedule day and night coverage in cooperation with Spiritual Life.
- Assist with programming and events promotion through email, articles in The Breeze, social media, and other Spiritual Life points of contact.
- Perform any other duties as assigned.
- Work weekend, evening, or night shifts and/or holidays as needed for a 24-hour operation.
Requirements
- Excellent administrative and telephone skills required.
- Proficient in Microsoft Office.
- Ability to learn HMS software.
- Exhibit warm hospitality through the overall operation of the Spiritual Life Department and Pastoral Respite Program.
- Must live on campus.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
