About the Role
You will be responsible for managing purchasing processes, including ordering, receiving, storage, distribution, and payment of hotel items. This role involves leading negotiations with suppliers, creating approved supplier lists, and reporting to the Director of Finance. You will also manage inventory, ensure compliance with hygiene regulations, and oversee the team's daily operations and development.
Responsibilities
- Responsible for compliance with established procedures for ordering, receiving, storing, distributing, and paying for all hotel items.
- Conduct sales and negotiation discussions with suppliers.
- Create the list of approved suppliers covering all categories/departments.
- Report to our Director of Finance and lead a team of two people plus trainees.
- Receive and inspect ordered goods, considering hygiene regulations (HACCP).
- Daily provision and distribution of food items needed in the hotel.
- Monthly inventories and other stock controls are essential.
- Responsible for cleanliness, order, and safety of all storage-related areas.
- Ensure compliance with minimum and maximum stock levels for non-food and beverage items.
- Responsible for proper and professional purchasing; monitor stock levels against best-before dates and resolve stock discrepancies.
- Process purchasing requests from all departments in coordination with the budget and purchasing guidelines.
- Participate in department-relevant meetings.
- Support and advise the F&B management with quote requests.
- Daily correct and timely entry of all delivery notes and invoices in the goods management system "BirchStreet".
- Schedule your team, including duty and vacation planning.
- Train new colleagues and conduct development discussions.
Requirements
- Completed hotel management apprenticeship and/or a degree in hotel or tourism management.
- At least one year of professional experience as an Assistant Purchasing Manager, ideally with prior knowledge in the hotel/gastronomy industry.
- Confident demeanor, team spirit, and friendliness.
- Warm, authentic, and sociable personality.
- Compelling communication and expression skills in German and English; a third foreign language is an advantage.
- Hands-on mentality with an eye for detail.
- Flexible willingness to work and impressive quality awareness.
- Organized and structured way of working with an eye for detail.
