About the Role
We are looking for an Event Operations Assistant to support our Operations team in delivering iGB Affiliate 2027 in Barcelona, Spain. This role is ideal for a highly organised and methodical individual who enjoys variety in their work and thrives in a fast-paced environment. You will collaborate closely with internal teams and external stakeholders while also having the autonomy to take ownership of your responsibilities. Responsibilities
- Assist the wider Operations team to ensure that our events are run to the highest standards.
- Proactively share event operational information with other departments and stakeholders.
- Communicate show requirements/orders to suppliers and venues accurately, timely and within the allocated budget.
- Audit our floor plan and exhibitor lists to ensure our records are accurate.
- Manage the end-to-end delivery of turnkey exhibitor packages, collaborating closely with external partners to ensure successful execution and a seamless exhibitor experience.
- Undertake supplier research.
- Coordinate team meetings.
- Coordinate travel and accommodation for the team, partners and speakers.
- Coordinate and Manage distribution of Media Partner literature.
- Plan, source, and manage event merchandise requirements, ensuring all materials are delivered on time and within budget.
- Coordinate exhibitor private meeting room packages, ensuring venue services and exhibitor requirements are fully met.
- Coordinate the delivery and collection of show freight.
- Register suppliers in our financial system (Workday), update budgets and raise purchase orders.
- Support the Operations Managers by collecting H&S policies, insurance and risk assessments.
- Maintain a tidy stockroom and ensure accurate inventory tracking.
- Independently manage assigned event feature projects from concept through to delivery, ensuring objectives, timelines, and stakeholder expectations are successfully met.
- Complete ad-hoc tasks assigned to you by the wider Operations team.
- Complete general office management tasks.
Requirements
- Strong time management and organisational skills, showcasing an ability to prioritise and complete tasks ahead of deadlines.
- Excellent communication skills.
- Ability to work effectively both independently and within a team.
- Willingness to learn.
- Highly adaptable to changes.
- Readiness to travel Internationally – Barcelona, Spain.
Skills
- Proficient in Microsoft Suite
- Comfortable learning new software systems such as Airtable and Canva
