About the Role
As a Team & Operations Assistant, you will work at the intersection of People, Finance, Office, and Management. You will provide support where organization, coordination, and attention to detail are needed in daily operations. You will identify upcoming tasks, set priorities, and ensure tasks are completed. You will collaborate closely with our CEO and the team, handling both recurring administrative processes and spontaneous organizational matters.
Responsibilities
- Maintain and manage employee data and processes in Personio.
- Support onboarding and offboarding processes, as well as new hires and departures.
- Prepare employment contracts, contract amendments, certificates, and other HR documents.
- Compile and prepare payroll-related information for our external payroll partner.
- Manage absences, benefits, and other administrative People topics.
- Assist with individual People processes and projects, such as feedback cycles or team surveys.
- Serve as the team's point of contact for everyday organizational HR questions.
- Support the review and processing of incoming invoices.
- Assist with preparatory tasks for month-end closing.
- Coordinate and follow up on administrative tasks with internal and external contacts.
- Support with other organizational Finance and Administration tasks in daily business.
- Support our CEO with organizational and administrative tasks.
- Coordinate appointments, meetings, and small organizational projects.
- Prepare and organize internal meetings, workshops, and team events.
- Follow up on and coordinate outstanding to-dos and organizational matters.
- Assist with research and small projects requiring extra hands and a good organizational eye.
- Organize and coordinate our Berlin office.
- Order and manage office supplies, beverages, and other equipment.
- Coordinate external service providers, such as cleaning and other office services.
- Process and distribute incoming mail.
- Manage and distribute hardware and other equipment.
- Prepare the office for meetings, workshops, or team events.
Requirements
- You are a organizational talent with a passion for making things happen and driving them forward, recognizing where support is needed and what needs to be done next.
- You have initial professional experience in an organizational, administrative, or assistant role, e.g., in People, Office, Operations, or Executive support.
- You work in a highly structured, reliable, and independent manner, and can effectively prioritize multiple parallel tasks.
- You are hands-on and pragmatic: if something needs to be done, you take care of it.
- You enjoy coordinating diverse topics and contacts while maintaining an overview.
- You handle confidential information responsibly and discreetly.
- Ideally, you have prior experience with an HR system like Personio or are willing to learn quickly.
- A basic understanding of administrative HR and Finance processes is a plus.
- You communicate confidently in German and can also communicate well in English.
- You are regularly present at our Berlin office and are eager for a role where personal interaction and presence play an important part.
