About the Role

The Student Services & Facilities Team Leader supports the day-to-day management of reception and campus operations for ILSC & Greystone College Sydney, ensuring the highest quality customer service and efficient administrative processes.

Responsibilities

  • Ensuring the highest quality customer service from the team, including interacting with students and potential students.
  • Answering or directing customer inquiries via phone, email, mail, and in-person.
  • Organizing and preparing for intake days and graduation.
  • Assisting students with access to learning platforms like MOODLE, ILSC & Greystone College Apps, and Microsoft 365.
  • Updating the school’s database with student information, including PRISMS.
  • Managing the student services/reception team’s schedule, including leave cover.
  • Leading the student services/reception team in training sessions.
  • Supporting the recruitment and hiring process of new reception staff.
  • Purchasing student health insurance.
  • Managing textbook stock levels and providing reports to the finance team.
  • Assisting students with payments.
  • Liaising with and supporting other departments, including student advising, academic, and accommodation.
  • Advising, developing, and acting on ILSC policies and procedures, especially administrative processes, to ensure efficiency and compliance (including ESOS Act).
  • Creating an inspiring team environment aligned with ILSC’s core values.
  • Answering team member questions, addressing issues, and overseeing work for quality and guideline compliance.
  • Listening to team feedback and resolving issues or conflicts.
  • Communicating goals and deadlines to team members.
  • Developing strategies to promote team member adherence to company performance goals.
  • Conducting team meetings to update members on best practices and expectations.
  • Discovering training needs and providing coaching.
  • Generating and sharing comprehensive reports about team performance, mission-related objectives, and deadlines.
  • Delegating and managing reception tasks.
  • Performing other projects or related duties as determined by the Director/Director of Studies.
  • Escalating issues to the appropriate stakeholders.
  • Overseeing the opening and closing of campuses and ensuring the school is secure.
  • Ensuring high standards of cleanliness by coordinating with cleaners and flagging concerns.
  • Coordinating fire warden training with building management.
  • Overseeing general maintenance of the campus, including organizing the replacement and repair of furniture and fixtures.
  • Lodging tickets to building management for repairs.
  • Organizing vendors and trades when required.
  • Liaising with the IT department and interns on issues.

Requirements

  • Strong communication and leadership skills.
  • Ability to multitask with strong attention to detail.
  • Excellent organizational and computer skills.
  • Proactive with strong problem-solving and critical thinking skills.
  • Post-secondary education preferred.
  • 2-3 years’ experience in student services, preferably in an international environment.
  • Some leadership/management experience preferred.
