About the Role
Condé Nast is seeking an Executive Assistant to provide proactive, reliable support for one of its executives, ensuring the efficient operation of the executive’s office. This role requires a detail-oriented, self-motivated individual who can manage multiple demands with ease and grace, anticipating needs and handling confidential information with urgency, efficiency, sensitivity, diplomacy, and discretion.
Responsibilities
- Provide proactive calendar management and prioritization, including booking appointments and preventing conflicts.
- Ensure the executive has all relevant preparation and materials for meetings.
- Gather inputs from stakeholders and prepare materials for leadership and 1:1 meetings.
- Organize meetings, offsites, activities, and team all hands, including scheduling, participant contact, venue/tech setup, agenda management, documentation preparation, and follow-up.
- Coordinate meeting logistics with internal and external guests, including security registration, arrival information sharing, and greeting visitors.
- Make domestic and international travel arrangements, including flights, cars, hotels, and restaurant reservations, creating clear itineraries.
- Anticipate the needs of others to ensure a seamless and positive experience.
- Work with a global team across different time zones.
- Process business expenses in a timely manner.
- Handle office tasks such as generating reports and presentations, setting up for meetings, and reordering supplies.
Requirements
- 2+ years of administrative experience.
- College degree required.
- Excellent organizational skills and ability to multi-task.
- Self-driven, motivated, and solutions-oriented with the ability to think on your feet, demonstrate personal accountability, initiative, and follow-through.
- Intellectual curiosity and desire to learn the business to facilitate thoughtful team support.
- Experience managing international travel and calendars required.
- Proficiency with Google suite products (Gmail, Docs, Sheets, etc.) and ability to quickly learn internal systems.
- Demonstrate emotional intelligence, judgment, discretion, and confidentiality in all matters.
- Strong writing and verbal communication skills.
