About the Role
The Project Administrator will provide project administration support to the country and service projects in Japan, utilizing SAP and other administrative systems.
Responsibilities
- Utilize SAP system and/or project-specific administration system/tools.
- Perform Project Order Entry based on forms completed by the Project Manager (PM).
- Raise Purchase Requisitions based on forms completed by the PM.
- Generate purchase requisitions for factory orders, inter-company, and third-party purchases.
- Adopt and maintain a structured project file system for consistent document storage and retrieval.
- Prepare project billing/invoices on time with supporting documents, understanding the customer billing process.
- Handle applications for Project Bank Guarantees (BG) and Performance Bonds (PB).
- Maintain records of BG/PB issued to customers and manage their retrieval and cancellation.
- Coordinate project shipment preparations, including packing lists, shipping invoices, and insurance matters.
- Liaise with the Distribution department to facilitate customer shipments.
- Perform Project TECO in SAP upon receiving a completed form from the PM.
- Follow up on order tracking with factories, suppliers, and SCM to ensure timely delivery and prepare necessary shipping documents.
- Perform other assigned tasks as needed.
Requirements
- Minimum 2-3 years of working experience in a similar role.
- Strong working knowledge of Microsoft Office software.
- Solid organizational skills, including attention to detail and multi-tasking abilities.
- Good English communication skills, both written and verbal.
