About the Role

This role will be responsible for providing administrative support to the General Counsel & Risk function, assisting with routine and ad-hoc tasks, and supporting two Executive Assistants.

Responsibilities

  • Provide administrative support for routine requests from the team.
  • Assist with managing requests submitted through ServiceNow.
  • Organize meetings, including those involving different time zones.
  • Set up mailboxes and maintain team distribution lists.
  • Maintain the database of documents on iManage.
  • Assist with travel costings, options, and arrangements.
  • Coordinate printing jobs and liaise with the London printing team.
  • Support document-related tasks such as PDF formatting, amending, redaction, and document comparing for file reviews and investigations.
  • Create team agendas for team meetings.
  • Assist in preparing PowerPoint presentations for team meetings and other presentations or training sessions.
  • Process invoices and expenses.

Requirements

  • Strong communication, organizational, and administrative skills.
  • Time management and prioritization skills.
  • Attention to detail, including proofreading for spelling, grammar, and consistency.
  • Proactive approach and enthusiasm to work independently.
  • Willingness to learn and develop skills.
  • Demonstrate a positive attitude and interest in the work.
  • Foster collaborative working relationships with team members and work towards the interests of the whole team and business.
  • Exercise confidentiality, discretion, and personal sensitivity in all aspects of the role.
  • Administration experience in a busy environment is essential.
  • Good level of numeracy.
  • Good English language and grammar skills.

Skills

  • Intermediate user of Microsoft Word, Microsoft Outlook, and Microsoft PowerPoint.
  • Responsibility for training to improve relevant skills.
