About the Role

McCarthy Tétrault is seeking a Legal Administrative Assistant for their Toronto office. This role involves providing support to team members across various practice groups, managing requests, and handling basic document support and production within a hybrid work environment.

Responsibilities

  • Collaborate with team members to triage and manage requests.
  • Respond promptly to inquiries and meet deadlines.
  • Foster cooperation across departments and individuals.
  • Manage workflow fluctuations with minimal supervision.
  • Oversee the Intake process, prioritizing and coordinating work.
  • Answer process-related questions and troubleshoot timekeeper issues.
  • Liaise with and direct requests to other Firm support resources.
  • Maintain accurate updates in the workflow system.
  • Provide backup support in the Resource Centre.
  • Enhance job knowledge and technical skills through active team participation.
  • Share knowledge, information, and mentorship with stakeholders and team members.
  • Perform quality control of own work and review the work of others.
  • Provide support to lawyers in specific practice groups.
  • Process timekeeper expenses by creating expense reports.
  • Submit and process vendor/third-party cheques and invoices.
  • Perform administrative support such as printing, scanning, faxing, photocopying, archiving, saving/renaming documents, creating binders, copying to CD/USB keys, data entry, and uploading/downloading from internet or data rooms.
  • Create, maintain, and store client files in accordance with Firm policies.
  • Draft, edit, format, and revise correspondence, memoranda, large transaction documents, reports, forms, and labels.
  • Proofread documents for formatting, spelling, grammar, and clarity.
  • Prepare basic court documents.
  • Assist with the organization of travel bookings and prepare travel itineraries.
  • Update contact names and addresses in the client database.
  • Support practice groups with legal documents.
  • Maintain in-depth knowledge of legal terminology, court rules and procedures, and medical terminology where applicable.

Requirements

  • 1-3 years of relevant experience required, preferably in legal or another professional services environment.
  • Intermediate proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint).
  • Ability to learn and maintain a solid understanding of Firm operational policies, process knowledge, and firm-specific technology.
  • Strong word processing, spelling, proofreading, and editing skills.
  • Ability to work effectively with other team members.
  • Demonstrates tact, respect, and professionalism in all interactions.
  • Ability to provide a high level of service to colleagues and clients.
  • Ability to assess priorities and perform duties in a highly organized manner.
  • Strong time management and multi-tasking skills.
  • Ability to work well under pressure to meet important deadlines.
