About the Role
McCarthy Tétrault is seeking a Legal Administrative Assistant for their Toronto office. This role involves providing support to team members across various practice groups, managing requests, and handling basic document support and production within a hybrid work environment.
Responsibilities
- Collaborate with team members to triage and manage requests.
- Respond promptly to inquiries and meet deadlines.
- Foster cooperation across departments and individuals.
- Manage workflow fluctuations with minimal supervision.
- Oversee the Intake process, prioritizing and coordinating work.
- Answer process-related questions and troubleshoot timekeeper issues.
- Liaise with and direct requests to other Firm support resources.
- Maintain accurate updates in the workflow system.
- Provide backup support in the Resource Centre.
- Enhance job knowledge and technical skills through active team participation.
- Share knowledge, information, and mentorship with stakeholders and team members.
- Perform quality control of own work and review the work of others.
- Provide support to lawyers in specific practice groups.
- Process timekeeper expenses by creating expense reports.
- Submit and process vendor/third-party cheques and invoices.
- Perform administrative support such as printing, scanning, faxing, photocopying, archiving, saving/renaming documents, creating binders, copying to CD/USB keys, data entry, and uploading/downloading from internet or data rooms.
- Create, maintain, and store client files in accordance with Firm policies.
- Draft, edit, format, and revise correspondence, memoranda, large transaction documents, reports, forms, and labels.
- Proofread documents for formatting, spelling, grammar, and clarity.
- Prepare basic court documents.
- Assist with the organization of travel bookings and prepare travel itineraries.
- Update contact names and addresses in the client database.
- Support practice groups with legal documents.
- Maintain in-depth knowledge of legal terminology, court rules and procedures, and medical terminology where applicable.
Requirements
- 1-3 years of relevant experience required, preferably in legal or another professional services environment.
- Intermediate proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint).
- Ability to learn and maintain a solid understanding of Firm operational policies, process knowledge, and firm-specific technology.
- Strong word processing, spelling, proofreading, and editing skills.
- Ability to work effectively with other team members.
- Demonstrates tact, respect, and professionalism in all interactions.
- Ability to provide a high level of service to colleagues and clients.
- Ability to assess priorities and perform duties in a highly organized manner.
- Strong time management and multi-tasking skills.
