About the Role
The Ng Siu Chan Centre is Yee Hong's newest long-term care home, focusing on Relationship-Centred Care and Meaningful Living. This role offers an exciting opportunity to contribute to the opening of a new home and help create an exceptional experience for residents, families, and team members.
Responsibilities
- Provides administrative support to the Executive Director and Director of Resident Care in resident, financial, and staff-related matters.
- Assists the Director of Resident Care in communication and follow-up with internal and external parties.
- Assists the Director of Resident Care and Social Worker in the resident pre-admission process.
- Provides administrative support in the resident admission and discharge process, including data entry, chart preparation, and scheduling.
- Maintains resident records in accordance with Ministry standards and guidelines.
- Handles and maintains proper records of residents' trust accounts receipts and disbursements.
- Maintains an accurate record of LTC Home petty cash expenditures.
- Prepares nursing staff schedules and manages shift exchanges and accommodation requests.
- Organizes and maintains central computer and paper filing systems, policies, procedures, and the Resource Library.
- Provides administrative support for LTC home committee meetings, including arrangements, notifications, and follow-up.
- Conducts tours of the LTC home for interested families and community groups.
- Oversees the central Administrative office, including reception, stationery, and mail.
- Orders and maintains inventory of office supplies, ensures regular maintenance of office equipment, and coordinates repairs.
- Assists in scheduling and accurately updating work schedules into the Time and Attendance System.
- Works closely with the Administrative Team and provides backup for other administrative or receptionist staff.
- Coordinates the deployment of volunteers for office support and provides guidance and supervision.
- Keeps up-to-date with developments and best practices in the field.
- Performs other duties as required.
Requirements
- Completion of a College secretarial program, or equivalent.
- Minimum 3 years of administrative or secretarial experience, preferably in a long-term care environment.
- Ability to take initiative, work independently, and contribute effectively as a team member.
- Superior organizational and time management skills.
- Flexibility and adaptability in a changing environment.
- Excellent customer service skills.
- Computer literacy required.
- Familiarity with medical terminology is an asset.
- Satisfactory Police Reference Check (with vulnerable sector screen) result.
- Ability to converse in Chinese.
