About the Role

The Police Athletic League (PAL) of New York City is seeking Administrative Assistants to support out-of-school-time programming and provide excellent customer service to families and youth. This role is crucial for establishing and maintaining program quality by supporting frontline staff, Site Leadership, and PAL Headquarters in effective back-office procedures. Candidates should be dedicated to learning and implementing best practices in youth development and supporting the ideas and opportunities of youth, staff, and the community.

Responsibilities

  • Foster social and emotional competencies and mental and physical well-being in a safe, welcoming, inclusive, and nurturing environment.
  • Plan and implement an efficient enrollment process that meets PAL’s target enrollment by established deadlines.
  • Create and maintain participant files aligned with SACC standards, including medical needs, IEPs, support plans, and logs.
  • Ensure part-time staff are aware of students with IEPs, share developed support plans, and track logs.
  • Enter attendance into PAL databases accurately and within established deadlines.
  • Answer questions from parents and staff.
  • Coordinate with the Principal, Director, Regional Director, and Headquarters for timely communication of important program data.
  • Ensure program office procedures align with strategic objectives, PAL policies, agency programming calendar, SACC regulations, and funding source obligations.
  • Respond appropriately to time-sensitive mental health needs, such as suicide prevention, grief, and loss.
  • Provide referrals to appropriate mental health services.
  • Collect and analyze program data to drive data-driven recommendations.
  • Lead compliance processes for new PAL hires.
  • Order, secure, and manage office supplies and equipment.
  • Hold an F07 or W07 fire emergency certificate and work with the Director to ensure safe and secure monthly fire drills.

Requirements

  • A minimum of sixty credits towards a degree from an accredited college or university in administration or human resources.
  • Open to learning and growing in mental health, SEL, and special needs inclusion skills.
  • Microsoft office skills are required.
  • A minimum of 5 years of paid work experience in a non-profit youth or social service agency in an administrative or managerial capacity.
  • Strong verbal and written communication skills.
  • Ability to work collaboratively.
  • Able to travel to any PAL location in the 5 Boroughs for Professional Development days.
  • Employment is contingent upon successful completion of all lawful pre-employment checks, which may include a background check.
