About the Role
Carefirst Seniors & Community Services Association is seeking an Executive Assistant/Proposal Writer to join their Administration Team. This role involves researching funding sources, drafting proposals, managing grant schedules, and providing administrative support.
Responsibilities
- Research and identify funding sources and potential supports, establishing and maintaining relationships with funding agencies.
- Draft funding proposals and complete funding applications.
- Maintain responsibility for funding schedules, tracking grants, and following up on proposal progress and reports.
- Assist with administration operations, including communication, data entry, record filing, database management, and scheduling.
- Establish and maintain rapport with the Board of Directors, its Committee, and other organizations.
- Assist in preparation for Board meetings, including secretarial support, document preparation, and facilitation of board development.
- Assist in developing agency programs and services in accordance with Board directions and policies.
- Coordinate meetings with internal and external stakeholders.
- Assist in quality assurance activities.
- Create and develop administrative documents.
- Respond to phone and email inquiries.
- Provide administrative support for the CEO.
Requirements
- Bachelor degree in Business Administration, English, Journalism, Communication, or a related field.
- 1-3 years of relevant experience, preferably in the healthcare industry and/or for non-profit organizations with a focus on proposal/grant writing, marketing, and/or business development.
- Experience drafting policies and executive documents is an asset.
- Superior writing and communication skills.
- Ability to understand project requirements, the organization’s history, structure, and functions.
- Ability to maintain sensitive information and exhibit tact, diplomacy, and good judgment, with high standards of ethics and confidentiality.
- Ability to multitask, prioritize, and work within a fast-paced environment.
- Organization and time management skills; ability to prioritize tasks.
- Strong computer literacy, high degree of proficiency in Microsoft Office.
- Fluency in English.
- A valid vulnerable sector police record check completed within one year.
