About the Role
Options for Community Living, Inc. is seeking an Administrative Assistant to join their Facilities team, supporting the Facilities Manager and Coordinator with essential administrative tasks related to property maintenance and operations.
Responsibilities
- Input completion dates for annual maintenance of agency contracts into Microsoft Access database.
- Process and copy purchases/receipts for maintenance-related items for mechanics.
- Order office supplies through Amazon for facilities office staff and mechanics.
- Maintain vendor binders with hard copy records of license and insurance information.
- Maintain key inventory in the key cabinet for ATC and MH departments, updating key sheets.
- Run pending reports for mechanics to highlight outstanding items.
- File all work orders for the MH and ATC departments.
- Maintain supply cabinet inventory and spreadsheet for facilities supplies.
- Manage and monitor Ring cameras at specified sites, updating status and distributing spreadsheets weekly.
- Monitor van maintenance, including tracking inspections, renewals, service updates, and internal inspections.
- Update inventory of smoke/carbon dioxide detectors for all sites and work with Quality Improvement for fire reports.
- Distribute and record submissions of Monthly Mechanic Residential Safety forms.
- Provide coverage for the reception desk as needed.
- Perform additional administrative duties as assigned.
Requirements
- High school graduate or equivalent.
- One year of general office experience required.
