About the Role
This position requires an in-depth knowledge of lease administration, tenant relations, and leasing operations while contributing directly to achieving leasing and occupancy objectives for the Office and Industrial portfolio in the Eastern region.
Responsibilities
- Provide direct administrative support to the leasing team to help achieve team, client, and property goals.
- Prepare availability packages and marketing materials for industry professionals.
- Assist with onboarding of deal terms, Letters of Intent (LOIs), and Offers to Lease into Yardi or other lease management systems.
- Coordinate renewal activity up to 24 months ahead of expiry to optimize tenant retention and occupancy.
- Maintain leasing/site plans, marketing website, lease expiry schedules, and occupancy reports in coordination with the regional administrator.
- Support the development and implementation of asset-specific leasing strategies and merchandising plans.
- Liaise with external clients in a timely manner to assist with accessing information, reports, and any other required materials.
- Participate in internal and client related update meetings to help ensure efficient deal process and reporting objectives are met.
- Act as liaison between Leasing, Lease Administration, Operations, and Accounting to facilitate effective deal processing.
- Support accurate and timely processing of lease transactions within Yardi or relevant lease management platforms.
- Assist with client reporting and document tracking for lease documentation processes.
- Contribute to the preparation of materials required for Quarterly Asset Review (QAR) meetings.
- Support data entry and materials preparation for the annual budgeting process.
- Foster strong working relationships across teams to support seamless lease execution.
- Collaborate on internal leasing initiatives and provide general support for special projects.
- Ensure timely and effective communication across stakeholders.
- Help support team marketing initiatives and events within the commercial real estate industry.

Requirements
- Post-secondary diploma or degree in Business Administration or a related field.
- 5+ years experience in the commercial real estate industry is required.
- Strong skills in Microsoft Office (Word, Excel, PowerPoint).
- Experience with Yardi or comparable lease management systems is strongly preferred.
- Strong understanding of commercial real estate leasing processes, documentation, and deal administration.
- Ability to handle confidential and commercially sensitive information with discretion.
- Written and verbal communication skills with the ability to coordinate effectively with brokers, clients, legal counsel, accounting, and other internal and external stakeholders.
- Organizational skills and ability to maintain accurate, complete, and audit-ready transaction records.
- Experience coordinating transactions from initial documentation through closing/completion.
- Document management and quality-control skills, with exceptional attention to detail and accuracy.
- Ability to manage multiple transactions, deadlines, and competing priorities simultaneously.
- Experience preparing, reviewing, tracking, and maintaining transaction documentation, agreements, amendments, and supporting records.
- Successful candidates must complete a criminal background check.
