About the Role

The Administrative Manager oversees the day-to-day operation of the Property Management Office, including Yardi data entry and administrative oversight for the property. This role requires competency and confidence in interactions with all levels of employees, both internally and externally. The position is responsible for managing calendars, setting appointments, planning events, producing documents, and completing projects with minimal supervision, along with a high level of attention to detail.

Responsibilities

  • Write up direct bill invoices for statements.
  • Prepare statement assemblies, including creating charges in Yardi and compiling above standard charges.
  • Prepare accruals for managed Service Provider accounts and reconcile customer bill back accounts.
  • Manage reforecast budgets, including entering numbers, making updates, and preparing reports.
  • Oversee all aspects of the day-to-day operation of the Property Management Office.
  • Assist other administrative staff with phone coverage and workload distribution.
  • Ensure phones are answered in a friendly, professional manner.
  • Assist with vendor service contract bids, contract preparation, and administration.
  • Maintain equipment inventory tracking and reporting.
  • Maintain the property management calendar.
  • Maintain the customer and administrative filing system.
  • Coordinate with security to provide building access for contractors and vendors.
  • Assist in the preparation of all CuzWay supplements and ensure deadlines are met.
  • Assist managers in compiling annual budget information and reports.
  • Perform initial coding of all A/P invoices for on-line system and Yardi approval.
  • Assist in preparing all RFIs and RFPs.
  • Prepare Risk Management reports.
  • Offer IT assistance for building staff with software or equipment issues.
  • Order kitchen, office, and engineering supplies.
  • Create mail merge letters, escalation letters, and elevator entrapment letters.
  • Maintain the Disaster Preparedness Manual.
  • Maintain all policies and procedures manuals for Ownership.
  • Assist with parking and leasing issues.
  • Schedule and coordinate customer evacuation warden training and evacuation drills.
  • Maintain training records for AED machines and associated training.
  • Manage and schedule all special events and filming projects in the building.
  • Update and maintain building website(s).
  • Oversee the maintenance of insurance files for required coverages.
  • Prepare notification letters to customers and vendors regarding insurance certificate expiration.
  • Coordinate with property managers to prepare required loss prevention reports.
  • Develop and maintain positive customer relations.
  • Schedule and coordinate all new customer orientations.
  • Coordinate customer participation in the recycling program.
  • Schedule all customer events and giveaways.

Requirements

  • A high school diploma or GED equivalent is required.
  • A minimum of 3 years administrative/office manager experience is required.
  • Commercial Real Estate Experience required.
  • Proficient use of Microsoft Office computer application programs is required.
  • Must work well with others and interact positively with customers.
  • Must possess excellent communication skills.
  • Must be detail-oriented and well organized.
  • Must have the ability to manage time and multiple projects efficiently.
  • Must possess a professional demeanor and handle issues in a confidential manner.
  • Must be able to work well in a team environment.
  • Proven writing and verbal communication skills.
  • Strong grammatical and practical use of the English language.
  • Must be able to define problems, collect data, establish facts, and draw valid conclusions.
  • Physical Demands may vary.
  • The individual is occasionally required to sit, stoop, kneel, and crouch.
  • The individual may need to lift up to 20 pounds.
  • Specific vision abilities required by this job include color vision.
