About the Role
The Fundraising Department plays a critical role in securing the resources necessary for MSF Canada to deliver humanitarian medical assistance. The Gifts Processing Coordinator supports the Fundraising Department by ensuring the accurate and timely processing of donations, maintaining the integrity of fundraising data, and strengthening operational processes. This role ensures donors receive timely stewardship and that fundraising teams have reliable information for decision-making.
Responsibilities
- Manage the timely, accurate and effective administration of all philanthropy gifts from receipt to tax receipt delivery.
- Upload, manage, and file gift records in SharePoint and the Raisers Edge database.
- Ensure Philanthropy data is accurate and up to date by monitoring input, updating profiles, and collaborating with the Fundraising systems - Data and Analysis unit.
- Create and document processes, update existing process documents, and provide training to Philanthropy team colleagues.
- Process gifts accurately and in a timely manner, including mail sorting, inputting gift codes, EFT and cheque batching, and bank deposits.
- Generate gift receipts and acknowledgements in English and French.
- Communicate with unit coordinators to flag new gifts and donor requests, ensuring a 48-hour turnaround time for responses.
- Maintain a strong understanding of receipting guidelines from the CRA.
- Manage the centralized system for gift tracking and donor acknowledgements.
- Manage data transfer and reconciliation of donor data into the CRM database in collaboration with unit coordinators.
- Manage and coordinate letters of acknowledgement and tax receipting for philanthropy donors.
- Assist with gift processing for Third-Party Aggregators (Benevity, CAF, Double the Donation, Canada Helps).
- Coordinate with external vendors, contacts, and internal team members regarding Philanthropy donors and gift data.
- Update, edit, and validate donor data for database hygiene in Raiser's Edge.
- Ensure correct gift coding in Raiser's Edge.
- Perform database queries, summarize findings, and present actionable insights.
- Manage and monitor Excel documents for gift tracking.
- Maintain knowledge of tax rules and compliance related to receipting in Canada.
- Train new Philanthropy colleagues on Raiser's Edge gift entry, acknowledgement, and receipting processes.
- Stay up to date with ReceipterPro and Raiser's Edge updates and changes, updating processes accordingly.
- Monitor incoming donations.
- Create and regularly update relevant process documentation.
- Organize and maintain Philanthropy online and physical gifts files.
- Provide administrative support during events and team meetings related to gift entry.
- Organize and schedule meetings, and take meeting minutes.
- Provide general gifts administrative support for the Philanthropy team.
Requirements
- Demonstrated professional experience in records management, legal assistance, fundraising, or office administration.
- Strong computer literacy, including word processing, spreadsheet, and database software proficiency.
- Ability to search the internet for research purposes and learn new Windows-based programs.
- Candidates must be legally authorized to work in Canada.
Skills
- Raiser’s Edge, Salesforce or equivalent database experience.
- Strong interpersonal, written, and oral communication skills.
- Proven administrative skills with keen attention to detail.
- Ability to track multiple projects simultaneously.
- Organizational and time management skills.
