About the Role
The Director of Event Services will manage the Event Management and Event Production teams within a specific remit, fostering a team-based approach and embodying the FIRST brand as an embedded team member at a Fortune 500 technology company.
Responsibilities
- Serve as the primary point of contact for the client, overseeing the Event Management Program and providing regular status updates.
- Identify opportunities for service offering improvement by collecting feedback, identifying trends, and implementing change.
- Develop growth strategies and provide proactive guidance to clients.
- Partner with leadership and delivery teams for quarterly account reviews.
- Streamline processes, identify best practices, and implement new solutions.
- Build and maintain effective working relationships with key stakeholders through regular meetings.
- Collaborate with the Global Account Director and wider agency for services outside the in-house remit.
- Manage client expectations regarding production escalations and issues.
- Support the rollout of the event management program, ensuring processes, onboarding, and training are in place.
- Provide input for programmatic improvements and build relationships with support teams.
- Act as the primary escalation point for Event Management and Event Production teams in the region.
- Serve as a local expert on FIRST processes and assist teams in navigating client and agency support.
- Infuse the FIRST brand by fostering a positive team mindset and integrating wider agency skills.
- Provide support and mentorship to Event Production and Event Management Team Leads.
- Monitor day-to-day challenges to improve efficiencies and processes, and implement training.
- Ensure teams provide value to clients and offer value-adds.
- Manage regional team engagement and budget.
- Provide client updates on recruitment status for open roles.
- Partner with the FIRST People & Culture team on company initiatives and employee relations.
- Focus on talent retention through team welfare, feedback, and a positive working atmosphere.
- Monitor and forecast team capacity for proper staffing and reporting.
- Support key projects on-site to evaluate staffing levels.
- Monitor and re-engineer current teams by identifying gaps and opportunities, driving efficiencies, and implementing best practices.
- Provide reports for optimum resourcing and staffing.
- Collaborate with the Data team to ensure accurate report delivery.
- Ensure accurate client charges and make fee adjustments with the Account Operations team.
- Review and approve freelancer and supplier invoices and time-worked entries.
- Troubleshoot invoice issues with suppliers, freelancers, and the Finance team.
Requirements
- 10+ years of experience in a similar role.
- Experience overseeing a large team and working in a global organization.
- Strong change management background.
- Excellent project and task management skills.
- Experience in conference planning, experiential events, digital events, and/or production.
- Experience managing direct reports and processes in a fast-paced, ever-changing environment.
- Experience implementing and maintaining SOPs.
- Self-directed with the ability to work independently.
