About the Role
As a Team and Project Assistant, you will be instrumental in keeping the office running smoothly. This role is versatile, down-to-earth, and practical, involving direct communication within the team.
Responsibilities
- Manage office organization, mail processing, and general commercial tasks.
- Handle material orders, cash management, and absence processing.
- Receive and assist visitors, service providers, and tradespeople.
- Plan appointments and travel for colleagues and managers.
- Support recruitment by contacting applicants, coordinating interviews, and assisting with onboarding/offboarding.
- Assist with acquiring new projects.
- Organize birthdays and internal events.
- Set up workstations for new colleagues, including monitors, peripherals, and cable management.
- Manage office supplies and inventory.
- Coordinate external service providers such as cleaning, technical, and trade services.
- Perform minor practical tasks in daily office operations.
- Organize birthdays, anniversaries, and internal events.
- Actively shape team culture and contribute ideas for improving daily work life.
- Act as a culture ambassador, embodying the company's internal interaction style.
- Maintain and manage correspondence registers, recording and documenting incoming and outgoing mail.
- Create, format, and review letters, minutes, and memos according to templates and content guidelines.
- Take minutes in meetings and ongoing appointment coordination for management during absences of the office management.
Requirements
- Completed commercial apprenticeship and initial professional experience in a comparable assistant or office organization role.
- Organizational talent, quick comprehension, and reliability.
- Discretion in handling personnel and business information.
- Communicative and confident in dealing with visitors, callers, and business partners, both internally and externally.
- Independent and meticulous work style.
- Proficient in MS Office.
- Very good German language skills, both written and spoken.
- Willingness to engage in practical tasks and hands-on work.
