About the Role
Provide comprehensive support to a Company executive to enhance effectiveness and service to clients and employees.
Responsibilities
- Welcome guests and customers by greeting them in person or on the telephone, and answering or directing inquiries.
- Maintain the executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Attend meetings in the executive's absence and deliver and receive messages on the executive's behalf.
- Conserve executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Provide historical reference by developing and utilizing filing and retrieval systems, and recording meeting discussions.
- Maintain customer confidence and protect operations by keeping information confidential.
- Prepare reports by collecting and analyzing information.
- Complete projects by assigning work to clerical staff and following up on results.
- Secure information by completing database backups.
- Maintain and verify office supplies inventory.
- Ensure operation of equipment by completing preventive maintenance requirements, troubleshooting malfunctions, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
- Contribute to team effort by accomplishing related results as needed.
- Perform other duties as assigned.
Requirements
- Previous hotel or sales experience preferred.
