About the Role
Lead complex workplace moves, relocations, and space-change projects, ensuring safe, efficient delivery and an exceptional colleague experience. This role requires thriving in a fast-paced environment, excelling at stakeholder management, and transforming plans into seamless workplace transitions.
Responsibilities
- Own and manage moves, relocations, workplace changes, and associated power and data requirements across projects ranging up to and beyond $100,000.
- Coordinate multiple projects and workstreams while maintaining detailed schedules, milestones, and delivery plans.
- Lead stakeholder meetings for large-scale moves and communicate project status, risks, decisions, and next steps.
- Produce Microsoft Project schedules and comprehensive move documentation, including floor plans, move packs, and contact lists.
- Coordinate access permits, enabling works, contractor RAMS, and e-permits.
- Oversee and approve out-of-hours contractor activity when required.
- Support the broader MAC team to ensure consistent, high-quality service delivery.
- Serve as a primary liaison among client stakeholders, ISS teams, space planners, finance partners, and subcontractors.
- Maintain regular communication with client representatives and respond quickly to short-term operational needs.
- Collect vendor proposals, communicate costs, and obtain client approval before work begins.
- Provide timely updates and management information throughout the project lifecycle.
- Create an outstanding colleague experience by ensuring moves are organized, clearly communicated, and delivered with minimal disruption.
- Lead subcontractors to ensure work is completed safely, on time, within budget, and to the highest quality standards.
- Partner with the finance team to secure purchase orders for all approved vendor work.
- Review vendor invoices for accuracy, including labor hours, materials, and billing.
- Maintain financial and project trackers documenting approved costs, authorization dates, vendor quotations, final expenses, and applicable ISS markups.
- Identify opportunities to improve resource utilization, control costs, and strengthen service delivery.
- Update post-move occupancy information in WebCore accurately and promptly.
- Work closely with the portfolio optimization team to ensure occupancy information remains current and supports the overall portfolio strategy.
- Track all MAC activity and prepare accurate weekly and monthly reports.
- Maintain performance against established MAC KPIs and client reporting requirements.
- Meet regularly with senior ISS leaders and regional delivery teams to share updates, best practices, and continuous-improvement opportunities.
- Ensure every move and project is completed in accordance with applicable health, safety, environmental, and regulatory requirements.
- Review and approve contractor risk assessments, method statements, and access documentation.
- Conduct toolbox talks, safety stand-downs, and weekly site inspections as appropriate.
- Escalate safety concerns promptly and ensure all required documentation is completed and filed at project closeout.
- Confirm that existing and proposed drawings receive client approval before work begins.
- Mentor and support new team members as they build their knowledge of MAC operations and ISS standards.
- Continually evaluate current processes and recommend practical, innovative improvements.
- Promote collaboration, accountability, and service excellence across every project and workstream.
Requirements
- Extensive experience managing Moves, Adds & Changes, workplace relocations, or related facilities projects.
- Strong understanding of interior fit-out, space planning, power and data coordination, and occupancy management.
- Experience overseeing subcontractors, project budgets, schedules, and multiple concurrent workstreams.
- Advanced proficiency with Microsoft Office, particularly Excel, Word, PowerPoint, and Microsoft Project.
- Essential working knowledge of the WebCore Occupancy Management System.
- Strong commercial awareness, including cost control, vendor quotations, purchase orders, and invoice validation.
- Excellent written, verbal, and presentation skills.
- Demonstrated ability to build trusted relationships with diverse stakeholders.
- Confidence making timely decisions throughout the project lifecycle.
- Ability to remain organized, resilient, and solutions-focused during periods of sustained pressure.
- A consistent commitment to quality, safety, and operational excellence.
