About the Role
The Senior Office Manager will oversee the day-to-day office and administrative operations of the company, reporting directly to the President and Vice President. This role provides essential administrative and HR support to the Field Manager, ensuring an efficient workforce and compliance with company policies and employment laws. The ideal candidate is proactive, highly organized, exercises sound judgment, maintains confidentiality, and possesses outstanding communication, leadership, and problem-solving skills.
Responsibilities
- Oversee the daily administrative operations of the corporate office.
- Supervise, coach, and develop two direct administrative staff members.
- Develop, implement, update, and continuously improve office procedures and operational processes.
- Manage the office operating budget.
- Coordinate the monthly purchasing of cleaning supplies and operational materials for five hotel properties while maintaining inventory control and cost efficiency.
- Respond promptly and professionally to emails, phone calls, and written correspondence in both English and Spanish.
- Maintain organized office records and ensure proper document retention.
- Manage recruiting, interviewing, hiring, onboarding, and offboarding.
- Process background checks and all pre-employment requirements.
- Maintain complete, accurate, confidential, and compliant employee personnel files.
- Prepare, document, and administer disciplinary actions, written warnings, performance improvement plans, and other employment-related documentation.
- Handle administrative employee inquiries regarding employment status, payroll issues, wage increases, sick leave, company policies, and employment documentation.
- Manage Workers’ Compensation and Disability claims, with related documentation.
- Maintain knowledge of New York State Department of Labor regulations and ensure compliance with all applicable employment laws and regulations.
Requirements
- Fully bilingual in English and Spanish (verbal and written).
- Minimum of five (5) years of progressive experience in Office Management, Business Administration, HR or a related leadership role.
- Experience supervising administrative staff.
- Strong experience in recruiting, interviewing, hiring, onboarding, employee relations, and performance management.
- Experience preparing disciplinary documentation and conducting employee counseling meetings.
- Experience managing Workers’ Compensation and Disability claims.
- Knowledge of New York State Department of Labor regulations and employment law.
- Proficiency with Microsoft Office (Word, Excel, Outlook) is required.
- Experience with Homebase is preferred but not required.
- Excellent organizational, leadership, communication, customer service, and problem-solving skills.
- Ability to prioritize multiple responsibilities while maintaining accuracy and confidentiality.
