About the Role

This role will support LinkedIn’s Marketing Solutions team, working directly with the Senior Director, Product Marketing Management and the Senior Director, Ecosystem Marketing. The ideal candidate is proactive, organized, maintains strict confidentiality, and operates effectively in a high-volume, fast-paced environment.

Responsibilities

  • Full support of the LinkedIn Marketing Solutions Team’s Senior Director, Ecosystem Marketing and Senior Director, Product Marketing Management, and supplemental support of their respective teams
  • Plan, organize and manage executive calendars, resolving overlapping commitments and protecting/aligning time with priorities
  • Organize, schedule, manage logistics, and ensure content preparedness for internal and external meetings and events
  • Actively participate in meetings for notetaking and follow-up summaries and documentation
  • Anticipate critical rhythm of the business initiatives
  • Coordinate all domestic and international travel arrangements
  • Plan, track, and manage a budget for the team, and manage and reconcile expense reports, purchase orders, and procurement requisitions
  • Partner with stakeholder teams outside of the Marketing Solutions team to help coordinate cross-functional efforts and initiatives
  • Proficiently answer, screen, and route internal and external correspondence, requests, and other communications
  • Support knowledge management systems, including managing and updating SharePoint sites, document libraries, trainings, and playbooks
  • Provide back-up support for other executive assistants when needed and serve as a resource for new administrative employees
  • Maintain and update email distribution lists / aliases
  • Support special projects as needed
  • Act as a point of contact with workplace services to meet facility needs for the team
  • Provide input to improve processes, efficiency, and execution of the organization
  • Adapt to changes in systems, tools, and processes, and adhere to and share best practices
  • Maintain a strict degree of confidentiality along with excellent judgment, discretion and a high degree of maturity and professionalism
  • Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with little to no direction
  • Partner closely with other executive/administrative assistants and the Chief of Staff on all department-related matters and initiatives

Requirements

  • 4+ years of experience in an administrative, coordinator, or related role; OR a bachelor’s degree in business, Business Administration, or related field AND a minimum 1+ year of experience in an administrative, coordinator, or related role
  • 3+ years of experience supporting Senior Director+ level leaders
  • 1+ year of experience in project management
  • 1+ year of experience in budget management
  • High operational ability to execute quickly with strong attention to detail and accuracy
  • Excellent communication, analytical, and organizational skills
  • Ability to professionally interact with senior leaders and anticipate their needs
  • Comfortable collaborating with other assistants to get things done and ensure LinkedIn achieves its mission
  • Demonstrates ability to be proactive, take initiative, and exercise good judgment, discretion and confidentiality in all tasks
  • Ability to effectively manage time, prioritize tasks, and work within deadlines and handle a high level of ambiguity
  • Ability to consistently solve complex problems creatively after in-depth evaluation of variable factors
  • Collaborative spirit with ability to act as a team culture steward and build relationships, mentor, and work effectively across administrative team at LinkedIn
  • Demonstrates excellent understanding of how an organization operates across functions
  • Advanced knowledge of MS Office (Outlook, Word, PowerPoint, Excel) and familiarity with cloud-based applications (SharePoint, Google Docs)
  • Ability to set up and manage virtual meetings via MS Teams and Zoom
  • Demonstrated AI fluency, able to understand, engage with, and strategically apply AI in practical, real-world contexts without needing to code or build models
